Job Description
- Support the day-to-day administration of the company's Employee Stock Ownership Plan (ESOP).
- Serve as an internal point of contact for employees regarding ESOP participation, eligibility, vesting, distributions, diversification, and general plan questions.
- Coordinate with the ESOP trustee, third-party administrator (TPA), valuation firm, legal counsel, auditors, and other plan professionals as appropriate.
- Assist with the annual ESOP valuation and participant allocation process by gathering, reviewing, and submitting required employee and plan information.
- Coordinate annual participant communications following completion of the ESOP valuation and assist employees with understanding their participant statements and plan information.
- Administer and track ESOP diversification elections for eligible participants in accordance with plan requirements.
- Coordinate ESOP distributions for terminated, retired, deceased, or otherwise eligible participants.
- Assist with the administration and tracking of the company's ESOP stock repurchase obligation, including maintaining participant distribution information and supporting short and long-term repurchase obligation planning.
- Maintain accurate ESOP participant, distribution, diversification, and repurchase obligation records.
- Assist with annual ESOP census information and other data requests from plan administrators, auditors, valuation professionals, and advisors.
- Support required ESOP notices, participant communications, elections, and other administrative requirements.
- Maintain organized plan documentation and historical records. 401(k) Profit Sharing Plan Administration
- Administer the day-to-day activities of the company's 401(k) Profit Sharing Plan.
- Coordinate employee enrollments, eligibility, contribution elections, beneficiary changes, and other participant transactions.
- Coordinate with payroll and the plan recordkeeper to accurately and timely process employee 401(k) deferral contributions and loan repayments.
- Review contribution reports and assist with identifying and resolving payroll or participant discrepancies.
- Respond to employee questions regarding contributions, rollovers, distributions, loans, eligibility, vesting, and other plan provisions.
- Assist employees with incoming and outgoing rollover questions and coordinate documentation with the plan recordkeeper.
- Coordinate annual census preparation and submission to the plan's TPA/recordkeeper.
- Complete or coordinate annual plan questionnaires and information requests, including applicable 409(p) testing questionnaires and data requests.
- Coordinate preparation and distribution of Summary Annual Reports (SARs), required participant notices, and other plan communications.
- Coordinate information required for annual Form 5500 preparation and filing with the company's TPA, auditors, and other plan professionals.
- Assist with annual plan audits, compliance testing, nondiscrimination testing, and other required reporting.
- Maintain accurate participant and plan records and ensure required documentation is retained appropriately.
- Coordinate annual profit-sharing contribution information and participant communications following company approval and allocation.
- Monitor plan administration calendars to ensure required filings, notices, testing, and other deadlines are completed timely. Benefits Administration
- Serve as an internal resource for office employees regarding available health, dental, and vision benefits provided through applicable local union benefit programs.
- Assist employees with general eligibility, enrollment, coverage, and benefit questions.
- Direct employees to the appropriate union benefit office or provider when necessary.
- Coordinate and administer supplemental insurance programs,
- Assist with new-hire benefit communications and applicable enrollment activities.
- Support employees experiencing qualifying life events and benefit changes.
- Maintain applicable benefit documentation and employee records while protecting confidential information.
- Assist with annual benefit communications and enrollment activities as applicable. Leave Administration
- Administer and track employee Paid Time Off (PTO) requests and balances in coordination with payroll and company leadership.
- Coordinate Family and Medical Leave Act (FMLA) requests, documentation, eligibility, notices, and leave tracking in accordance with company policy and applicable requirements.
- Coordinate maternity, paternity, parental, and other company leave programs.
- Communicate leave requirements, documentation needs, available benefits, and return-to-work expectations to employees.
- Coordinate benefit continuation and employee premium obligations during applicable leaves of absence.
- Maintain accurate and confidential leave records.
- Coordinate with payroll and management to ensure leave status and available paid benefits are accurately reflected. Compliance, Reporting & Recordkeeping
- Maintain organized and accurate benefit plan records, participant documentation, elections, notices, reports, and correspondence.
- Maintain an annual compliance and administrative calendar for retirement and benefit plans.
- Coordinate with external administrators and advisors to support compliance with applicable plan documents and regulatory requirements.
- Assist with benefit-plan audits and respond to information requests from auditors, TPAs, recordkeepers, trustees, and other authorized professionals.
- Review benefit-related invoices, participant data, and administrative reports for accuracy.
- Identify discrepancies or administrative issues and coordinate timely resolution with internal and external partners.
- Assist company leadership with benefits-related reporting, budgeting, forecasting, and analysis as requested.
- Monitor administrative processes and recommend improvements that increase accuracy, efficiency, employee understanding, and service quality. Qualifications
- Three (3) or more years of experience in employee benefits, retirement plan administration, ESOP administration, or a related field required.
- Experience administering or supporting qualified retirement plans, including 401(k), profit sharing, and/or ESOP plans.
- Direct ESOP administration experience strongly preferred, including knowledge of participant distributions, diversification, annual valuation activities, and stock repurchase obligations.
- Working knowledge of retirement plan administration, including eligibility, contributions, distributions, rollovers, annual census reporting, participant communications, compliance testing, and Form 5500 processes.
- Experience collaborating with third-party administrators, recordkeepers, trustees, auditors, valuation firms, and other benefit plan professionals.
- Experience with health and welfare benefits, FMLA, PTO, and leave administration is a plus.
- Strong organizational, analytical, communication, and critical thinking skills with exceptional attention to detail.
- Proficiency with Microsoft 365 applications, particularly Excel, and the ability to learn payroll, HRIS, and benefits administration systems.
- Ability to manage confidential employee and financial information with professionalism and discretion.
- Bachelor's degree in Human Resources, Business, Accounting, Finance, or a related field preferred; equivalent relevant experience will be considered. Key Competencies
