Job Description
Taft-Hartley Trust Funds:
the PACE Industry Union-Management Pension Fund (PIUMPF), the USW 401(k), and the USW Health Reimbursement Arrangement (HRA). Position Summary The Service and Support Specialist serves as an important point of contact for our participants. This position responds to questions and requests, processes participant documentation, maintains accurate records, and supports the day-to-day administrative functions of the department. The position requires strong attention to detail and the ability to handle multiple priorities while maintaining a high level of accuracy and professionalism. Key Responsibilities Respond to participant inquiries regarding pension eligibility, past service, benefits, and general information by phone and email Provide professional, courteous, and helpful customer service Accurately route calls and inquiries to the appropriate personnel Receive, review, and process participant forms, including direct deposit, W-4P, name and address changes, and other benefit-related documentation Protect confidential participant information by following established control procedures Open, date-stamp, organize, and securely distribute incoming mail Digitize, index, and organize documents using internal software systems Print and mail documents and correspondence according to established procedures Process incoming faxes and email inquiries Issue replacement 1099 forms as needed Perform data entry and maintain accurate participant records Review information for completeness and accuracy and identify and correct errors when necessary Follow established procedures, guidelines, and instructions Assist with general administrative and departmental duties as assigned Qualifications High school diploma or equivalent Proficiency with Microsoft Office, including Word and Excel Strong typing and data-entry skills Excellent attention to detail and accuracy Basic math proficiency Excellent verbal and written communication skills Strong organizational and prioritization skills Ability to manage multiple tasks in a fast-paced environment Strong critical-thinking and problem-solving abilities Ability to identify discrepancies and take appropriate steps to resolve errors Ability to understand and follow established procedures and instructions Ability to work independently as well as collaboratively with a team Good judgment and discretion when handling confidential information Spanish-speaking ability is a plus Preferred Experience Experience in any of the following areas is helpful: Customer service Office administration Data entry Benefits administration Pension or retirement administration Insurance Call center or participant/member services Other administrative or service-oriented positions We welcome candidates with strong transferable skills who are eager to learn.
