Overview :
Alabama's Robert Trent Jones Golf Trail is a collection of 468 holes of championship golf on 11 sites across Alabama. The Robert Trent Jones Golf Trail is managed by Sunbelt Golf Corporation. Sunbelt's philosophy from the very beginning was to build the finest collection of public golf courses in the world and run them as a successful business investment. Located in the southeast corner of Alabama, Highland Oaks offers three 9-hole championship courses as well as the 9-hole Short Course. The Highlands/Magnolia combination was named by Golf Digest's "Places to Play" as one of the nation's Great Value courses. This 36-hole complex features some of the longest and most classically designed holes on the Trail. Each nine has a different personality. The regrassing of the championship nines with TifEagle Ultradwarf greens was completed in 2020, as was the redesign of the practice area with new short game and putting greens. Highland Oaks annually hosts qualifying schools for LPGA, Korn Ferry and Mackenzie Tours. Summary This position is responsible for the administrative and cash management functions for the assigned location and serves as the human resources liaison for the location. The duties include checking accounting records for accuracy, tracking invoices and payments, and maintaining a system for organizing company documents. Essential Duties and Responsibilities Process daily deposits and update the monthly Sales-Deposits-AR Reconciliation schedules in a timely and accurate manner, ensuring the schedules and supporting documents are submitted in time to meet corporate deadlines Monitor over/shorts related to all facility cash outlets including POS terminals and safes Reconcile credit card transactions daily and monthly Manages site checkbook following appropriate security controls and obtaining backup receipts. Keeps checkbook balanced ongoing and processes accurate petty cash reconciliation as needed Demonstrates strong organizational and interpersonal skills demonstrating the ability to be approachable to internal and external customers while maintaining professionalism and courtesy Assist in the preparation and timely monitoring of operations budget Clearly and accurately trains supervisory staff in administrative functions and procedures Responsible for tracking and submitting according to corporate deadlines the site inventory values with supporting documents on a monthly basis Demonstrates strong computer skills (Microsoft Word, Excel, POS, HR Onboarding and Payroll software, and accounting software) Demonstrates the ability to easily learn and adapt to changing software and exhibits the ability and willingness to teach others about software and computer processes Conducts final review of Accounts Payable before sending to Corporate for payment. Includes processing in time for available payment term discounts and mind meeting all corporate deadlines Responsible for obtaining and submitting documents related to tax-exempt sales to corporate by the end of month due date following the related sale Manages Accounts Receivable by including timely billing to customers and communication at least monthly with the Director of Golf on past due accounts Conducts appropriate checks and balances as instructed by Corporate to ensure accurate payroll before submitting to Corporate for processing Responsible for working with a corporate representative to ensure that all processes are followed regarding site-specific permits including but not limited to food permits. Responsibilities include making certain all are filed and renewed on or before their expiration dates Site expert on onboarding and new paperwork process. Communicates effectively with hiring managers on solutions to issues that hold up the hiring process Is site HR liaison for hiring, benefits, and payroll including responsibility for all documentation required. Will sometimes serve as a witness to employee counseling Assists with management of all SunBelt Golf policies and procedures Can be counted on as a person of integrity who can maintain appropriate confidences Exercises sound judgment in functioning as the site level Human Resources liaison including timely relaying of employee concerns to the appropriate person including the Director of Golf and/or Corporate Human Resource Representative as well as participating in measures to address and resolve concerns, as necessary Monitors and orders office supplies in a manner that is consistent with monthly budget requirements Assist in entering daily P&Ls or annual budgets as requested by the Director of Golf At selected locations, performs work in the Maintenance Division including invoice processing, assisting with onboarding and benefits paperwork, and registration and payroll approval Other duties as assigned
