Monday-Friday, 8:00 AM-5:00 PM; flexibility is required for job fairs, partner-site visits, and business needs.

Position Summary The Company is seeking an HR Coordinator to provide day-to-day administrative, onboarding, and travel support to the HR Manager. At its core, this role has two priorities: keep hiring and employee information organized and help new hires complete every step needed to start. The Coordinator will also provide recruiting support as business needs arise. This is a support-focused role, not an HR Manager or HR Generalist position. The HR Manager will set priorities, provide training on the Company onboarding processes and systems, and make final HR decisions. The Coordinator will work closely with a small, fast-moving team. This is a developing role whose scope will grow over time based on business needs, performance, and demonstrated capability. The right person is self-motivated, flexible, and dependable; they follow through, communicate professionally, adapt when priorities shift, and keep recruiting and onboarding details from falling through the cracks. Key ResponsibilitiesOnboarding & HR Administration
  • Support the HR Manager with new-hire onboarding from offer acceptance through the employee start date.
  • Send, collect, organize, and follow up on onboarding documents, employment forms, policy acknowledgments, and required new-hire information.
  • Help prepare new-hire packets, orientation materials, checklists, badges, equipment requests, and other first-day materials.
  • Maintain organized digital employee files, HR trackers, spreadsheets, and administrative records.
  • Assist with employment verifications, employee letters, document requests, and routine employee communications.
  • Track missing paperwork, upcoming deadlines, and pending onboarding items; provide timely updates to the HR Manager.
  • Handle employee and company information with professionalism, discretion, and confidentiality. Travel & Partner-Site Support
  • Assist the HR Manager with booking airfare, hotel accommodations, rental cars, and ground transportation for employees and business travelers, following company procedures and approvals.
  • Prepare and communicate basic travel itineraries, confirmations, and travel-related reminders.
  • Collect traveler details, maintain booking records, and help track confirmations, itinerary changes, and travel-related reminders.
  • Travel to client sites and recruiting events as needed; maintain a professional presence when representing the Company off site. General HR & Team Support
  • Assist with background checks, drug-screen coordination, HRIS/PEO updates, timekeeping reminders, and other routine HR processes as directed.
  • Assist with employee events, policy acknowledgments, routine tracking, and other administrative projects as assigned.
  • Work closely with the HR Manager and operations team to keep employee, candidate, and partner-site needs organized and moving forward.
  • Perform other related duties as assigned in support of a small, fast-moving team. Recruiting Support (As Needed)
  • Post jobs on approved job websites, monitor postings and applicant activity, screen applicants against established criteria, and maintain recruiting trackers as hiring needs arise.
  • Plan, coordinate, and host job fairs, hiring drives, campus/community outreach, and other off-site recruiting events when needed; training and initial support will be provided.
  • Travel to client sites, job fairs, and community recruiting events as needed to support recruiting, onboarding, workforce readiness, or HR-related coordination.
  • Research local recruiting opportunities, community partnerships, and candidate sources for the HR Manager to review.
  • Coordinate candidate logistics, including interview details, travel arrangements when needed, and follow-up communication. Required Qualifications
  • High school diploma or equivalent required; associate degree, HR coursework, or related administrative training is a plus.
  • Two or more years of strong administrative, office coordination, staffing, customer-service, or operations-support experience is required.
  • Experience organizing records, coordinating schedules, maintaining trackers, following up with people, and managing multiple deadlines is required.
  • Self-motivated, flexible, and comfortable taking ownership of assigned tasks, identifying pending items, and adjusting to changing business priorities.
  • Prior HR experience is a plus, but not required. Onboarding, recruiting, HRIS, or travel-coordination experience is also a plus; training will be provided on the Company onboarding processes and systems.
  • Strong organization, attention to detail, follow-through, and ability to manage changing priorities.
  • Professional communication skills by email, phone, Teams, and in person.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Ability to handle confidential information appropriately and follow established procedures.
  • Valid driver's license, reliable transportation, and ability to travel to client sites, job fairs, and recruiting events as required.
Pay:
$22.00 - $25.00 per hour
