Job Description

Key Responsibilities Human Resources Administration
  • Provide day-to-day administrative support to the Human Resources department.
  • Maintain accurate and confidential employee personnel files and records.
  • Update employee information in HRIS and other internal systems.
  • Prepare HR documents, reports, spreadsheets, correspondence, and forms.
  • Monitor HR calendars, deadlines, and employee-related tasks.
  • Assist with audits and routine HR reporting.
  • Ensure HR records are organized, accurate, and up to date. Recruitment & Hiring
  • Assist with posting job openings on appropriate job boards and recruiting platforms.
  • Review applications and resumes according to established hiring procedures.
  • Schedule interviews between candidates and hiring managers.
  • Communicate with candidates regarding interview schedules, required documentation, and next steps.
  • Assist with reference and background checks as authorized.
  • Prepare new-hire paperwork and maintain recruitment records.
  • Track candidates throughout the hiring process.
  • Help coordinate job fairs, career events, and recruiting activities. Employee Onboarding & Offboarding
  • Coordinate new employee onboarding activities.
  • Prepare offer letters, onboarding documents, and new-hire packets.
  • Collect and verify required employment documentation.
  • Assist with employee orientation and training coordination.
  • Ensure new employees are entered into HR, payroll, benefits, and other systems.
  • Coordinate employee termination and offboarding procedures.
  • Assist with exit interviews and related documentation. Payroll & Benefits Support
  • Provide administrative support for payroll processing.
  • Review employee timekeeping information and communicate discrepancies to the appropriate personnel.
  • Assist with employee changes affecting payroll, such as new hires, terminations, promotions, and address changes.
  • Assist employees with routine benefits questions.
  • Support benefits enrollment and changes.
  • Maintain accurate benefits and payroll-related records.
  • Coordinate with payroll and benefits providers when necessary. Employee Relations Support
  • Respond to routine employee questions regarding HR policies, procedures, benefits, and workplace programs.
  • Direct complex employee concerns to the appropriate HR professional.
  • Maintain confidentiality when handling sensitive employee matters.
  • Assist with employee communications and HR announcements.
  • Support employee engagement activities and company events. Compliance & Records
  • Maintain confidential personnel records and employment documentation.
  • Assist with required employment verification and documentation processes.
  • Support compliance with company policies and applicable employment regulations.
  • Assist with HR audits and preparation of requested documentation.
  • Ensure sensitive employee information is handled securely and appropriately. HR Reporting & Data Entry
  • Enter and update employee information in HRIS and related systems.
  • Prepare HR reports, spreadsheets, and tracking documents.
  • Maintain accurate records of attendance, employee changes, training, and other HR activities.
  • Track onboarding, recruiting, and employee-related deadlines.
  • Assist HR management with data collection and reporting. General Office Support
  • Answer HR department phone calls and respond to emails.
  • Schedule meetings and maintain HR calendars.
  • Prepare meeting materials and take notes when requested.
  • Order and maintain HR office supplies.
  • Assist with employee events, training sessions, and company initiatives.
  • Perform other administrative and HR-related duties as assigned. Qualifications
  • High school diploma or equivalent required.
  • Associates or bachelors degree in Human Resources, Business Administration, or a related field preferred.
  • Previous administrative, customer service, or HR experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential and sensitive information professionally.
  • Proficiency with Microsoft Office, Google Workspace, or similar business software.
  • Ability to learn and navigate HRIS and payroll systems.
  • Strong interpersonal and customer-service skills.
  • Ability to multitask and meet deadlines in a fast-paced environment. Preferred Qualifications
  • Experience with an HRIS such as Workday, ADP, UKG, BambooHR, or similar systems.
  • Knowledge of basic HR practices and employment terminology.
  • Experience assisting with recruitment and onboarding.
  • Familiarity with payroll and benefits administration.
