Position Summary We are seeking a highly organized, professional, and detail-oriented HR Assistant & Back-Up Receptionist to support both our Human Resources team and front office operations. This role serves as a key administrative partner within HR while also acting as a professional first point of contact for employees, visitors, vendors, and clients at our Main Corporate Lobby. The ideal candidate thrives in a fast-paced environment, enjoys multitasking, and is passionate about creating a welcoming and organized workplace culture. Essential Responsibilities Reception & Front Desk Support Provide back-up coverage for the Main Receptionist during breaks, lunches, and absences Professionally answer, screen, and route incoming calls Greet and assist guests, employees, vendors, and visitors Maintain visitor logs and issue visitor badges according to company procedures Keep reception and lobby areas clean, organized, and professional Coordinate incoming/outgoing mail and FedEx pickups Monitor and order office supplies Provide general administrative support to departments as needed HR Administrative Support Scan and digitally archive employee personnel files Organize and maintain employee records in compliance with retention requirements Maintain HR storage rooms and filing systems Assist with New Hire Orientations and training sessions Update and maintain training records Enter employee and temporary associate information into HRIS systems (ADP preferred) Assist with employee badge creation and troubleshooting Audit and track HR-related invoices and vendor documentation Support temporary staffing coordination and HR compliance tracking HR Team & Leadership Support Assist with calendar coordination and scheduling Track HR deadlines, reminders, and project follow-ups Support committee meetings, leadership initiatives, and HR projects Employee Engagement & Culture Participate as a member of the Activities Committee Assist with employee appreciation events and engagement activities Support wellness, safety, and company culture initiatives Help foster a welcoming and positive employee environment Additional Duties Support payroll and compliance-related tasks as needed Assist with badge inventory and supply management Provide overtime support during peak business periods Perform additional HR and administrative duties as assigned Qualifications Minimum 2 years of administrative and/or receptionist experience Minimum 1-2 years of Human Resources experience High School Diploma or GED required Additional HR coursework or certifications preferred Bilingual English/Spanish strongly preferred Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with HRIS systems; ADP experience preferred
