Job Description
The Administrative Clerk provides clerical, administrative, and project support to the Vice President of Human Resources and assists the Human Resources, Payroll, and Education departments with a variety of administrative functions. This position also provides general support to other departments throughout the organization as assigned. The Administrative Clerk plays a key role in maintaining accurate records, coordinating administrative processes, managing documentation, and ensuring efficient day-to-day departmental operations. Provide administrative and clerical support to the Vice President of Human Resources. Assist with HR projects, routine clerical support, and departmental initiatives. Maintain employee files and HR documentation in accordance with organizational policies and confidentiality requirements. Prepare correspondence, reports, forms, spreadsheets, and presentations. Assist with onboarding, orientation preparation, employee events and employee record management. Schedule meetings, interviews, and appointments as directed. Support compliance and accreditation activities through document preparation and record maintenance. Payroll Support Assist with payroll-related clerical functions, including data entry, filing, and document organization. Maintain payroll records and supporting documentation. Prepare payroll reports and spreadsheets as requested. Support payroll audits and reconciliation activities by gathering and organizing required information. Assist with payroll-related projects as assigned. Education Department Support Assist with scheduling educational programs, training sessions, and staff development activities. Prepare training materials, attendance records, and educational documentation. Maintain training files, databases, and reporting records. Support special projects and departmental initiatives related to employee education and development. General Administrative Support Provide clerical assistance to various departments throughout the organization as assigned. Answer phones, route calls, greet visitors, and respond to inquiries professionally. Manage incoming and outgoing correspondence, mail distribution, and document processing. Perform data entry, scanning, filing, copying, and record maintenance. Order and maintain departmental office supplies. Assist with meeting preparation, agendas, minutes, and follow-up activities. Support special projects, administrative initiatives, and organizational events. Perform other duties as assigned. Education and Experience High School Diploma or equivalent required. Associate degree in Business Administration, Human Resources, or related field preferred. Minimum of one (1) year of clerical, administrative, or office support experience preferred. Experience supporting Human Resources, Payroll, Healthcare, Education, or administrative departments is preferred. Knowledge, Skills, and Abilities Strong organizational and time-management skills. Ability to handle multiple projects and changing priorities. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise discretion with sensitive information. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Ability to work independently and collaboratively with staff at all levels. Strong customer service and interpersonal skills. Ability to learn new software, processes, and organizational systems.
