Job Description
For over 30 years now, Living Advantage, Inc., a 501(c)3, has been dedicated to helping at-risk youth. From the beginning, the mission was to provide housing, therapeutic treatment, educational support, and independent living skills to wards of the court in Los Angeles and Orange Counties. After 30 successful years, LA, Inc. aimed for a larger social problem to address—foster youth. The Human Resources Assistant supports the daily operations of the Human Resources department at Living Advantage, Inc., a nonprofit organization dedicated to empowering youth through education, case management, and workforce development programs. This role assists with recruitment, onboarding, compliance, employee relations, and administrative functions to ensure efficient HR operations that align with organizational goals and grant requirements. Key Responsibilities 1. Recruitment & Onboarding Assist with posting job openings on platforms (Indeed, LinkedIn, USC Work Study, etc.) Screen resumes and coordinate interviews with hiring managers Preform in-depth interviews through Zoom and In-Person Prepare onboarding materials and new hire packets Facilitate new hire orientations, including review of policies and procedures Ensure completion of background checks, TB clearance, and required attestations 2. Employee Records & Compliance Maintain accurate and confidential employee files (digital and physical) Track required documentation (I-9s, W-4s, certifications, clearances) Assist in ensuring compliance with federal, state, and local labor laws (including California regulations) Support audit preparation and maintain HR documentation for grant compliance (e.g., Apricot reporting support 3. Payroll & Timekeeping Support Assist with collection and review of employee timesheets (OnTheClock system) Ensure proper documentation of hours, sick leave, and overtime Coordinate with payroll and finance teams to ensure accuracy and timeliness Address basic payroll-related inquiries from staff 4. Employee Relations & Engagement Support employee engagement initiatives and staff communication Help track and manage employee evaluations and performance review timelines Provide administrative support for conflict resolution documentation as needed 5. HR Systems & Reporting Input and update employee data in HR systems and databases Assist with generating HR reports for leadership and grant requirements Support data tracking related to staffing, retention, and recruitment efforts 6. General Administrative Support Maintain HR calendars, schedules, and meeting coordination Draft HR-related correspondence, memos, and notices Support special HR projects and organizational initiatives as assigned Qualifications Education & Experience Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred 1-2 years of administrative or HR support experience (nonprofit experience a plus) Experience working with nonprofit organizations or youth-serving programs Knowledge & Skills Basic understanding of HR principles and California labor laws Strong organizational and time management skills High level of confidentiality and professionalism Proficiency in Microsoft Office (Word, Excel, Outlook) and HR systems Excellent written and verbal communication skills Ability to work in a fast-paced, mission-driven environment
