Job Description
We are seeking a detail-oriented, reliable, and discreet HR & Payroll Administrative Assistant to join our team. In this dual-focused role, you will serve as the primary administrative support for our human resources and payroll functions. You will ensure accurate time tracking, assist with weekly/bi-weekly payroll preparation, maintain compliance-heavy employee records, and serve as a welcoming point of contact for employee inquiries. The ideal candidate possesses exceptional organizational skills, a high level of integrity when handling sensitive information, and a foundational understanding of California labor and payroll documentation. The position is an in-person position. This position is NOT a remote position. Key Responsibilities Payroll & Timekeeping Support Review, verify, and reconcile electronic timecards and timesheets weekly to ensure accuracy, proper manager approvals, and compliance with California meal/rest break requirements. Assist in preparing and processing weekly/bi-weekly payroll by entering data (e.g., garnishments, deductions, bonuses, and new hire details) into our payroll software. Track and log employee paid time off (PTO), sick leave, and other approved absences. Act as a first point of contact for employees regarding basic paycheck discrepancies or timecard adjustments. Human Resources Administration Facilitate the onboarding process by preparing new hire packets, collecting required compliance forms (I-9s, W-4s, DE-4), and setting up employee profiles in the HRIS. Maintain physical and digital personnel files, ensuring strict confidentiality and compliance with retention laws. Assist with benefits administration by tracking eligibility timelines, distributing enrollment materials, and processing forms. Help coordinate annual open enrollment or compliance training sessions (e.g., sexual harassment prevention). General Office Support Draft, format, and distribute routine company communications, memos, and HR forms. File, scan, and archive sensitive financial and administrative documents. Provide occasional front-desk or phone coverage, routing inquiries to the correct internal department. Perform other administrative duties to support the operations and management team as needed.
