Job Description
Description We are looking for a Recruiting Coordinator to support hiring operations for a team based in Palo Alto, California. This Long-term Contract position is ideal for someone who thrives in a fast-moving environment and can keep multiple recruiting activities organized with precision. The person in this role will help create a smooth candidate experience by managing interview logistics, maintaining recruiting workflows, and providing consistent administrative support across the hiring process.
Responsibilities:
- Arrange interviews across multiple calendars, ensuring candidates and interviewers receive accurate scheduling details and timely updates.
- Oversee day-to-day recruiting coordination tasks that keep the hiring process organized, efficient, and responsive.
- Maintain candidate and interview records within Ashby, keeping workflow stages and hiring activity current.
- Partner with recruiters and hiring teams to manage logistics and remove scheduling obstacles throughout the recruitment cycle.
- Support candidates through each interview step by communicating clearly, confirming details, and helping deliver a positive experience.
- Use Google Workspace and Google Meet to coordinate meetings, documentation, and recruiting-related communications.
- Track competing priorities in a high-volume setting and adjust plans quickly as hiring needs change. Requirements
- 2+ years of experience in recruiting coordination, recruiting operations, or a related talent support role.
- Hands-on experience scheduling interviews and coordinating complex calendars in a detail-oriented environment.
- Familiarity with applicant tracking systems, including experience working in platforms such as Ashby.
- Strong organizational skills with the ability to prioritize effectively across multiple open requests.
- Ability to work efficiently in a fast-paced, high-volume environment with changing priorities.
- Clear written and verbal communication skills when working with candidates, recruiters, and hiring teams.
- Proficiency with Google Workspace, including tools used for scheduling, documentation, and virtual meetings.
