Full Job Description Description:
Loch Harbour Group is seeking a Managers Administrative II to provide high-level administrative and logistical support to our management team while helping run the day-to-day operational programs that keep the office moving. This role blends traditional executive support with program coordination, giving you ownership over scheduling, correspondence, records, and the logistics behind internal training and personnel initiatives. You will manage calendars, coordinate meetings and events, and maintain accurate personnel and training records, while also independently running the logistics for internal programs — from scheduling and rosters to communications and materials. You will work closely with Management, Human Resources, and Operations to make sure information flows smoothly, and nothing falls through the cracks. Requirements:
Clearance Active Secret Clearance required Administrative Support Manage complex calendars, scheduling, and correspondence for senior management, prioritizing and resolving conflicts independently Serve as a point of contact for internal and external inquiries, providing exceptional support to staff, leadership, and outside partners Draft, proofread, and manage email and written correspondence on behalf of management Maintain organized, accurate records and files, including personnel and training documentation Coordinate logistics for meetings, training, and events, including location, materials, presenters, and A/V setup Monitor shared inboxes and distribution lists to ensure timely, professional responses Handle sensitive and confidential information with discretion and sound judgment Program & Operations Coordination Independently manage logistics for internal training and development programs, including scheduling, rosters, communications, and course materials Track and update personnel and training records in coordination with Human Resources and department leads Analyze administrative and program data, and prepare reports and summaries for management Support onboarding and offboarding logistics for new and departing staff Assist with day-to-day office operations, including supply management, room setup, and vendor coordination Support process improvement initiatives aimed at increasing administrative and operational efficiency Maintain reusable administrative content and templates for internal use Education Bachelor's degree preferred, or equivalent professional experience 3+ years of administrative, office management, or program coordination experience; experience supporting a federal contractor or government environment is a plus Experience / Requirements Demonstrated experience managing calendars, correspondence, and logistics for management or executive-level staff Experience coordinating training, HR, or operational programs, including scheduling and records management Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Microsoft Teams, and SharePoint Excellent written and verbal communication skills, with the ability to interact professionally with staff and leadership Experience analyzing data and preparing clear, concise reports Comfortable working with sensitive or confidential information and exercising discretion Self-starter with a positive, service-oriented attitude and the ability to thrive in a fast-paced environment Nice to Have Active federal security clearance Experience supporting a government or defense-related organization Familiarity with Learning Management Systems (LMS) or HRIS platforms HR-related certification (e.g., SHRM-CP) or human resources administration experience Experience with onboarding/offboarding, benefits administration, or personnel record systems Prior military or government administrative experience Engagement Details Full-time position Onsite in our Fairfax, VA office Skills Calendar & Correspondence Management Program & Training Logistics Coordination Records & Personnel Data Management Report Generation & Data Analysis Onboarding/Offboarding Support Microsoft Office Suite, Teams & SharePoint Confidentiality & Discretion Process Improvement Reporting Works closely with Management, Human Resources, and Operations.
