Job Description

Our Mission Reflection is a research lab making intelligence open and accessible for everyone to use, customize, and build on. We build open models that let anyone control their intelligence and help shape the future of AI.
Our mission:
make intelligence open and accessible to all. Role Overview We're hiring a Recruiting Coordinator to own the machinery behind our hiring — the systems, process, and enablement that let recruiters and hiring managers move fast without dropping anything. This is not a scheduling-only role: you'll get into the guts of our ATS, build the reports that tell us where hiring is working and where it's stuck, and stand up new programs end to end. You'll sit at the center of every hire, balancing the needs of recruiters, hiring managers, and candidates, and you'll have real ownership over how talent ops runs as we scale. Based out of SF or NY, this role is an onsite position and you'll work closely with the recruiting team from day one. What You'll Do Manage candidate logistics and communications, balancing the priorities of recruiters, hiring managers, and candidates Own day-to-day operations of our ATS (Ashby) — configuration, hygiene, troubleshooting, and continuous improvement Build and maintain reporting and dashboards to inform recruiting decisions Design and launch new recruiting programs and tools — run enablement sessions with recruiters, interviewers, etc and act as the ongoing point person Identify and fix breakdowns in process before they become bottlenecks Keep our talent ops stack (ATS, scheduling tools, sourcing tools) integrated and running smoothly What We're Looking For 2+ years of experience in recruiting operations, talent ops, or a related coordination role Genuine interest in getting into the nitty gritty of talent ops — systems, tooling, ATS configuration, and enablement, not just scheduling Strong communication skills Comfort building reports and dashboards, with a working understanding of core recruiting metrics Track record of launching a new program or process and driving adoption of it High attention to detail and ownership — things don't fall through the cracks on your watch Ashby experience is a strong plus, especially having gone through an ATS implementation or migration
What We Offer:
We believe that to make intelligence open and accessible to all, you need to start at the foundation. Joining Reflection means building from the ground up as part of a talent-dense team. You will help define our future as a company, and help define the future of open foundational models. We want you to do the most impactful work of your career with the confidence that you and the people you care about most are supported.
Top-tier compensation:
Salary and equity structured to recognize and retain our talent globally.
Stock options:
Everyone who joins and contributes to Reflection's success gets to share in the upside through stock options. Health & wellness: Comprehensive medical, dental, vision, and life, with an annual wellness allowance.
Meals:
Lunch and dinner are provided in the office daily. Life & family: 22 weeks paid parental leave for all new birthing and non-birthing parents, including adoptive and surrogate journeys.
Vacation days:
Unlimited paid time off in the U.S. and 30 days in the U.K.
Sponsorship support:
We sponsor visas to help exceptional talent join our team and support long-term immigration pathways where applicable.
Team building:
We have regular off-sites, happy hours, and team celebrations.
Export Control Notice:
This position may require access to technology or source code subject to the U.S. Export Administration Regulations. Any offer of employment for this role may be conditioned on the Company's ability to provide the candidate with access to such technology or source code in compliance with applicable U.S. export control laws, which may require the Company to seek government authorization.
