Job Description

JOB SUMMARY
Metro Homes Inc. is looking for a Human Resources Coordinator who will be responsible for assisting the Director of Human Resources in all HR duties including but not limited to: recruiting, interviewing, hiring, employee benefits, payroll, new hire orientation, and etc.
JOB DESCRIPTION
Supports the functions and provides the necessary guidance required to promote recruitment, development and retention of quality personnel. Develops, updates and retrieves data from new/existing spreadsheets, database programs/ files and/or other automated/manual sources. Establishes, maintains and updates files, records, accounts and other information as needed to support and document functional operations and activities. Creates and maintains automated reports. Maintains record of insurance coverage, pension plans, and personnel transactions, such as hires, promotions, transfers, performance reviews and terminations. Maintains and provides Staffing Patterns/Schedules to all facilities, programs, payroll and administrative staff, as needed. Maintains and provides Monthly Compliance Report to all facilities, programs and administrative staff. Assists with and coordinates unemployment and labor law issues. Logs information into manual or automated systems; tracks and monitors disposition of requests, actions, files, documents, programs, etc.; and maintains follow-up files and suspense systems as necessary for various Metro departments. Ensures the upkeep of the Survey Books for each facility or program. Maintains active/inactive I-9 Immigration books for all staff. Prepares and maintains all Appraisals/Position Descriptions for all programs and administrative staff. Performs data entry, retrieval, and data searches; and assists in researching, assembling and organizing information for distribution. Assists in preparation for Metro's newsletter, special projects, etc. Ensures staffing issues are covered with the maintenance of an active On-Call Listing and providing coverage to all who need it. Reviews and responds to requests for staff development information; serves as liaison between department personnel and other departments; and assists in planning special meetings and conferences, retreats, etc. Assists with the upkeep of the Family Medical Leave Act to ensure that it is properly tracked and documented.
Performs more advanced clerical/reception duties:
greets visitors and assists in the provision of administrative support services, including handling incoming/outgoing massages/calls, and promptly complying with the request, or relaying the message to the appropriate person. Communicates ideas and instructions clearly and concisely, and coordinates with other staff, departments, officials, agencies, organizations and the public. Interprets and applies rules, regulations, policies and procedures, and problem solves. Prepares effective responses to correspondence and requests for information. Maintains an office environment that is professional and clean. Maintains a commitment to Metro's mission, vision, aspirations and dreams. Completes and maintains personnel files, ensuring that proper documents are filed safely. Files all documents related to the Human Resources Department. Understanding and distribution of forms related to Medical/Dental/Life Insurance benefits; and assists with Open Enrollment and its process. Maintains and distributes First Aide/CPR/CPI cards. Receives E-Time and distributes to managers for review. Collaborates with Trainer regarding training issues. Facilitates the New-Hire process (sets up appointment for new staff to complete paperwork, reviews position description/contract, and informs of training and all documentation needed to begin work.) Prepares photo ID for Metro employees and individuals, and prepares a tracking spreadsheet for monies involved. Prepares a weekly status report for all human resources transactions to be due each Monday morning. Receives, sorts and distributes paychecks twice each month. Maintains Nurses/Consultants personnel files and Survey Books. Prepares Personnel Action forms and prepares letters to accompany any changes to employment status. Privy to confidential information on a regular basis and maintains confidentiality. Assists with New-Hire Orientation - Human Resources issues. Assists other departments with administrative tasks as requested. Communicates all issues with the Human Resources Director. Organizes and schedules multiple activities effectively. Performs a variety of marginal duties not listed, to be determined and assigned, as needed and requested.
QUALIFICATIONS
High School Diploma or GED. Exceptions to educational requirements must comply with state laws. Knowledge of office practices and procedures. A basic knowledge of current human resource administration trends and practices, including Human Resources experience. Ability to find and communicate accurate information concerning the human resources process, policies and procedures. A basic understanding of employee classification, compensation, benefits, recruitment, selection, training and labor relations. Ability to operate a personal computer, knowledge of the databases and programs utilized. Skill in updating job descriptions and preparing job announcements and advertisements. Ability to learn and understand payroll systems and processing requirements, record and input numbers, and perform basic mathematical calculations. Demonstrated ability to meet deadlines, produce written material/reports, and oversee detail-oriented work in assigned areas. Ability to maintain confidential and sensitive information. Ability to maintain positive interpersonal communications with applicants, employees, officials, labor unions and the public with the ability to listen and ascertain their needs. Four (4) years full time, of responsible related experience in general office, clerical, secretarial, administrative support, customer service, or technical program support, including human resources experience. Ability to maintain positive interpersonal communications with employees, individuals, families/guardians and regulatory agencies, with demonstrated ability to use sound judgement in decision making situations.
