JOB OVERVIEW
The Business Administrator plays a critical role in supporting the daily operations of Wire 3 by facilitating efficient administrative processes and providing high-level support to employees and leadership. This in-office position is responsible for managing office operations, coordinating administrative and operational functions, supporting light human resources activities, and proactively addressing executive and organizational needs in a fast-paced, growth-driven environment. The ideal candidate is a highly organized, tech-savvy professional who exercises discretion, anticipates needs, and takes pride in keeping the organization running smoothly.
RESPONSIBILITIES
Provide comprehensive administrative support including calendar management, meeting coordination, travel planning, expense reporting, and preparation of presentations, reports, and correspondenceAct as a liaison to ensure timely communication and follow-up on key initiatives, both internally and externallyManage and prioritize requests, ensuring deadlines and business objectives are metOversee daily office operations, including maintaining office organization, coordinating facility needs, and ensuring a productive and professional work environmentManage office vendors, service providers, and supply inventory; negotiate pricing and ensure cost-effective purchasing practicesAssist with budgeting processes, track departmental expenses, and support financial reporting and invoice processingCoordinate company meetings, events, and team activities, including logistics, materials, and communicationSupport light HR functions including onboarding coordination, new hire paperwork, employee record maintenance, and benefits administration supportFacilitate onboarding and offboarding processes, ensuring all documentation, system access, and compliance requirements are completed accurately and on timeUtilize ADP or similar HRIS/payroll systems to maintain employee data, assist with reporting, and support payroll-related administrative tasksPerform Remote Online Notarization (RON) in accordance with Florida law for employment and business documentation, ensuring accuracy and complianceMaintain strict confidentiality of sensitive employee, financial, and business informationAssist in developing, documenting, and improving administrative processes and standard operating proceduresSupport cross-functional teams with administrative coordination, reporting, and project execution as neededMonitor compliance with company policies, assist with internal audits, and ensure proper documentation and recordkeepingIdentify opportunities for operational efficiencies and proactively implement improvementsProvide general operational support to leadership and executives, anticipating needs and resolving issues before escalationAssist employees in and out of the office with mail, deliveries, scanning, copying, notarization, and similar dutiesPerform other duties and responsibilities as assigned
REQUIRED SKILLS / ABILITIES
Strong organizational and multitasking skills with exceptional attention to detailExcellent written and verbal communication abilities with a professional and polished presenceAbility to manage competing priorities and support executive-level needs with professionalism and discretionHigh level of comfort with technology and the ability to quickly learn new platforms and systemsProficiency in Microsoft Office, Google Workspace, and other standard business productivity toolsFamiliarity with ADP or similar HRIS/payroll platforms requiredStrong problem-solving skills with a proactive, solutions-oriented mindsetAbility to maintain strict confidentiality and exercise sound judgment in sensitive situations
EDUCATION / EXPERIENCE
Associates or Bachelors degree in Business Administration, Office Management, or a related field preferred; equivalent experience considered3+ years of experience in administrative, office management, or business operations roles requiredExposure to basic HR functions including onboarding, recordkeeping, or benefits coordination preferredExperience using ADP or a similar HR/payroll system requiredMust currently hold, or immediately upon hire apply to obtain, a commissioned Florida Notary Public designation with Remote Online Notarization (RON) authorization
PHYSICAL REQUIREMENTS
This is a primarily in-office position requiring a high level of responsiveness and availability during standard business hoursProlonged periods of sitting at a desk and working on a computerAbility to occasionally lift and carry up to 25 lbs. for mail, supply deliveries, and office needsAbility to move throughout the office to support daily operational tasks
