Human Resources & Payroll Coordinator / Administrative Coordinator Position Summary We are seeking a highly organized, dependable, and bilingual HR & Payroll Coordinator / Administrative Coordinator to support the day-to-day administrative, human resources, payroll, and office operations of the company. This position will serve as a primary point of contact for employees, applicants, vendors, and visitors while providing direct administrative support to the Company President . The ideal candidate is professional, organized, detail-oriented, responsive, and comfortable handling confidential employee and company information. Strong English and Spanish communication skills are required. Key Responsibilities Reception & Office Administration Serve as the primary receptionist and welcoming point of contact for the company. Answer and direct all incoming phone calls in a professional and timely manner. Greet visitors, employees, vendors, and customers as needed. Manage general office communications and administrative needs. Assist with maintaining an organized and professional office environment. Payroll Process and manage weekly payroll accurately and on schedule. Collect, review, and verify employee timekeeping and attendance information. Resolve payroll discrepancies and work with management and employees to correct issues. Maintain accurate and confidential payroll records. Coordinate payroll-related reporting and documentation as needed. Human Resources & Employee Administration Coordinate the employee onboarding process from offer through completion of required paperwork. Prepare and maintain employee files and personnel records. Assist with new-hire documentation, policies, forms, and required employment paperwork. Monitor employee attendance and maintain accurate attendance records. Assist management with employee-related administrative matters. Maintain confidentiality of all employee, payroll, benefits, and company information. Recruiting & Application Management Assist with recruiting and hiring activities for open positions. Post and maintain job openings on appropriate recruiting platforms. Monitor incoming applications and resumes. Screen and organize applicants and coordinate interviews with management. Communicate with candidates throughout the hiring process. Maintain accurate applicant records and hiring documentation. Employee Benefits Assist employees with questions regarding company benefits. Coordinate employee enrollment, changes, and documentation for benefits programs. Maintain accurate benefits records. Assist with annual benefits renewals and open enrollment. Communicate benefits information to employees in both English and Spanish when needed. Insurance & Insurance Audits Assist with company insurance administration, including maintaining certificates, policies, and related documentation. Coordinate and organize information needed for insurance renewals and audits. Assist with workers' compensation and other company insurance documentation as needed. Work with insurance representatives, brokers, and company management to provide requested information. Maintain accurate and organized insurance records. Executive Support - Company President Provide direct administrative support to the Company President . Manage and maintain the Company President's calendar and schedule. Coordinate appointments, meetings, and other commitments. Help organize and prioritize the Company President's daily schedule. Serve as a point of contact for scheduling and appointment coordination. Assist with administrative tasks, correspondence, follow-up items, and other responsibilities as assigned. Anticipate scheduling and administrative needs and help ensure that commitments are organized and completed efficiently. Handle confidential information and communications with the highest level of professionalism and discretion. Bilingual Responsibilities Communicate effectively with employees, applicants, vendors, and other contacts in English and Spanish . Translate or explain company policies, payroll, benefits, onboarding, and HR-related information when necessary. Assist Spanish-speaking employees with questions and administrative needs. Qualifications 2+ years of experience in human resources, payroll, office administration, recruiting, or a related field preferred. Bilingual in English and Spanish required. Strong organizational and time-management skills. Excellent verbal and written communication skills. Strong attention to detail and accuracy. Ability to handle confidential and sensitive information professionally. Proficiency with Microsoft Office and standard office software. Experience with payroll and/or HR software preferred. Ability to manage multiple priorities and meet deadlines. Professional, dependable, and approachable demeanor. Ability to work independently while also supporting multiple departments and members of management. Ideal Candidate The ideal candidate is someone who can wear many hats and keep the office running smoothly . This person should be comfortable moving between payroll, HR, recruiting, employee questions, phone calls, insurance paperwork, scheduling, and executive support throughout the day. The successful candidate will be highly organized, proactive, trustworthy, and capable of recognizing what needs to be done without always being asked. Because this position handles payroll, employee information, benefits, insurance, and executive scheduling, confidentiality, accuracy, and discretion are essential.
