Job Description
Human Resources / Accounting Administrative Assistant About the Position We are seeking a Human Resources / Accounting Administrative Assistant to support both our Human Resources and Accounting departments. This is a great opportunity for an organized, detail-oriented professional who enjoys working with people, numbers, records, and administrative processes. The ideal candidate will have 1-2 years of administrative experience, preferably within Human Resources, Accounting, or a manufacturing environment. Experience with payroll/HRIS, Microsoft Excel, and MRP or ERP systems is highly preferred. Key Responsibilities Human Resources Support Assist with payroll processing and respond to employee questions regarding payroll, benefits, and eligibility. Assist with new-hire and benefits orientations. Support employee training and maintain accurate training records. Assist with employee relations and HR-related documentation. Maintain confidential employee records and personnel files. Assist with employee safety, wellness, and health-related reporting. Prepare badges, passes, identification cards, and other employee documentation as needed. Ensure proper filing and record-retention procedures are followed. Draft internal communications and correspondence. Accounting & Administrative Support Provide day-to-day administrative support to the Accounting department. Scan, file, and organize accounting documents. Maintain spreadsheets and prepare reports as requested. Assist with reviewing Sales Order Acknowledgements, backlogs, credit limits, and releasing orders from suspense. Assist with cycle count adjustments and physical inventory activities. Match Accounts Payable documents, including Purchase Orders, Receiving Documents, and Invoices. Assist with weekly check runs. Assist with posting payments and cash applications. Assist with new customer and vendor setup. Quality & Continuous Improvement Assist with Quality Auditing activities. Participate in continuous improvement projects throughout the organization. Follow company quality procedures, work instructions, policies, and documentation requirements. Support the company's quality objectives and overall continuous improvement efforts. Qualifications High School Diploma or equivalent required. 1-2 years of administrative experience, preferably in Human Resources, Accounting, or a related field. Intermediate Microsoft Excel and spreadsheet skills. Proficiency with Microsoft Word and Outlook. HRIS and payroll experience is a plus. Experience with an MRP/ERP system is a plus; SYSPRO experience is highly desirable. Basic knowledge of Human Resources principles and procedures. Strong attention to detail and organizational skills. Excellent written and verbal communication skills. Strong interpersonal skills with the ability to work effectively with employees at all levels. Ability to maintain confidentiality and exercise sound judgment. Strong problem-solving and time-management skills. Dependable, adaptable, and able to manage multiple priorities. Work Environment & Physical Requirements Primarily works in a climate-controlled office environment with moderate noise and minimal safety hazards. Position requires frequent sitting and computer use, as well as standing, walking, bending, reaching, and moving throughout the facility. Occasional lifting may be required. Safety glasses, gloves, or other PPE may be required in designated areas.
