South Portland, Maine, United States Job Description SUMMARY :
The Recruiting Coordinator supports the recruitment of open positions within the organization across our clinical and administrative functions. The Coordinator will support the recruiter and HR team with ensuring all administrative functions related to recruitment are executed effectively and efficiently.
CORE RESPONSIBILITIES
:
  • Posts all positions (new, or backfill) approved by the FTE committee.
  • Organizes and coordinates all aspects of candidate itineraries for interviews, agendas and site visits including travel and hotel reservations, worksite tours, appointments with physicians, lunch/dinner reservations, and processes all related receipts.
  • Processes offers, references, background checks, welcome emails, and onboarding paperwork.
  • Supports temporary agency recruitment, working directly with agencies to post approved roles and obtain updates for intermed leadership. Coordinates temp onboarding.
  • Provides coordination for job fairs including preparation, setup, participation at events, and clean-up.
  • Communicate with managers/supervisors regularly to ensure clarity on status of open positions and newly approved positions for posting.
  • Maintains strict confidentiality in alignment with HIPAA (Health Insurance Portability and Accountability) guidelines and InterMed policies.
  • Perform other duties to support the mission, vision and values of InterMed.

KNOWLEDGE , SKILLS , AND ABILITIES
:
    Education:
    o An associate degree in a business-related field preferred.
      Experience:
      o Two years Administrative Assistant, Human Resources Assistant, and/or Recruiting Coordinator/Assistant experience preferred. o Experience with UKG Recruiting Gateway preferred
      • Excellent time management, organizational and communication skills necessary.
      • Ability to earn trust and respect by providing prompt, accurate and helpful answers and innovative suggestions.
      • Intermediate to advanced Word, Excel, PowerPoint and Outlook skills.
      • Ability to adapt to changes in the work environment, manage competing demands and able to deal with frequent change, delays, or unexpected events.
      • Good listener with strong verbal and written communication skills.
      • Able to handle sensitive and confidential employee information.
      • Excellent organizational skills and attention to detail.
      • Ability to categorize and analyze information, to work independently and to prioritize multiple tasks and projects.
