POSITION TITLE
Human Resource Clerical Assistant
RESPONSIBLE TO
Human Resource Director ______________________________________________________________________________
SUMMARY:
To provide effective, timely and quality processing of Human Resource department duties. Acts as an administrative assistant to the Human Resource department and assists supervisory and support staff as needed.
ESSENTIAL JOB FUNCTIONS
Information Management Maintain personnel and employee medical files, both for active and inactive employees, including scanning terminated employee files into HRIS. Conducts audits and follows-up on missing information. Responsible for filing/recordkeeping system, including Federally required I-9 documentation. Receive employment verifications, payroll verifications and prior employee's requests for information, and garnishments. Sends new hire report to State within mandatory timeframes. Maintains security by producing new identification badges, updating badge access, and deactivating old badges, and replenishes supplies. Keeps inventory of supplies needed and replenishes for the HR department. Maintain/update/prepare new hire packets including paperwork, folders, and files, traditions and Supervisor training packets. Tracking CPR, TB testing, infection control, and licensures for employees. Assist with coordination reporting class information to Billings Clinic and supplies for CPR class Maintain and audit personnel files monthly. Assists Human Resources team with payroll and other duties as assigned.
ESSENTIAL JOB FUNCTIONS
Administrative Represents the HR department with great customer service, including responding to reception desk to cover when the front desk is absent. Assists new employees with online onboarding process. Conducts new employee paperwork and Onboarding. Assists in preparing and distributing the monthly employee calendar and employee newsletter. Assists with employee activities events and is a part of the Employee Recognition Committee. Assists Employment Coordinator with references, filing, letter writing, and other duties as assigned. Communicating New Hire Roundup. Coordinate Wellness Program events, advertising, and tracking.
ESSENTIAL JOB FUNCTIONS
Safety Obeys safety rules of St. John's Lutheran Ministries. Identifies, reports, and/or corrects obvious safety hazards. Attends mandatory safety in-services.

ESSENTIAL JOB FUNCTION
Employee Responsibilities Follows policy and procedures on tuberculosis testing. Follows policy and procedures on annual influenza vaccinations. Attends all mandatory in-services. Performs other duties as assigned.
REQUIREMENTS
Minimum Requirements:
Knowledge and skills acquired through completion of high school. Two to three years Human Resources or clerical experience preferred. Knowledge, skills, and abilities required: Writing and editing skills. Ability to coordinate and organize. Ability to communicate effectively, both orally and in writing. Ability to gather and analyze statistical data and generate reports. Skill in organizing resources and establishing priorities. Ability to manage detail. Highly computer literate with proficiency in Microsoft Office. Ability to maintain confidentiality of records and information.
PHYSICAL DEMANDS
Requires minimal lifting of 10lbs regularly to 25lbs occasionally, moderate bending, standing, walking, reaching and twisting.
