Job Description

Valley Electrical Contracting is looking for a service focused Administrative Assistant to provide support to our employees and, most importantly, our clients. This role involves not only handling administrative tasks, but also ensuring our clients receive high quality customer service every time they interact with us. You will play a critical role in managing client communications, maintaining smooth office operations, and supporting various administrative functions to enhance team productivity.

Administrative Responsibilities:
Serve as the first point of contact by answering and directing phone calls professionally, with a focus on delivering high quality customer service. Assist customers with inquiries while providing attentive and proactive communication to ensure a positive experience. Organize and schedule appointments for customers, managers, and team members, balancing multiple calendars effectively. Prepare and distribute client correspondence, emails, memos, and forms with professionalism and attention to detail. Maintain and update a client focused filing system for easy access and efficient record keeping. Order and manage office supplies, anticipating office and client needs. Coordinate travel arrangements for team members as needed to ensure seamless project success. Perform other duties as assigned.
HR Responsibilities:
Provide administrative support to the HR Department as needed. Assist with updating and maintaining internal compliance tracking spreadsheets. Assist with recruiting efforts, including entering resumes, tracking applicant data, and scheduling interviews. Assist with coordinating employee training, including scheduling training sessions and maintaining training records. Assist with onboarding activities and new hire coordination, including scheduling, communication, and onboarding preparation. Assist with maintaining employee records and entering employee data. Coordinate employee out-of-office requests and maintain accurate schedules and records. Perform other duties as assigned.
Skills:
Proven experience as an administrative assistant or in a client-facing support role. Strong customer service skills, with the ability to remain calm, confident, and attentive in client interactions. Knowledge of office management systems and procedures. Proficiency in Microsoft Office, including Outlook, Word, Excel, Access, and Teams. Excellent time management, prioritization, and multitasking abilities. Detail-oriented, with excellent written and verbal communication skills. Ability to handle sensitive and confidential information with professionalism and discretion. Strong organizational skills with the ability to maintain accurate records and data. Ability to coordinate multiple schedules, deadlines, and priorities in a fast-paced environment. Ability to learn new processes quickly and adapt to changing priorities.
Experience:
Two or more years of administrative and customer service experience required. Two or more years of experience using Microsoft Office preferred. Experience providing administrative support to Human Resources preferred. Prior experience in the electrical construction or building automation industries is beneficial but not required.
Education:
High school diploma required; additional education or formal training in business or administration preferred.
