Summary:
Serves as the primary front-office representative for the department, providing exceptional customer service to staff, leaders, applicants, visitors, and contractors. This role supports a wide range of functions including recruitment, onboarding, employee relations coordination, benefit and leave administration, HRIS updates, and general administrative support while ensuring efficient day to day operations of the HR Office.
Responsibilities:
1. Recruitment and Onboarding Support applicant communications and candidate flow in ATSProcess and screen new applicantsCoordinate new employee data collection and verification of required documentation needed to clear candidate to start, including credential verificationPre-employment screening ie, background, reference, Prepare new employee files.

Prepare new employee orientation packets ie. Benefits, parking, perks etc. Support orientation logistics and materials (ie. coordination, set up, policy review, benefits)Assists Employee Health with the entering of New Employees in OHM.New Hire reportingI-9 processing -Verifies documentation and expiration date for I9 Visa.

Front Office Customer Support and HR Administration:
First point of contact, providing courteous, timely, and accurate assistance to all visitors, staff, and callersManage HR inbox, phone line, and reception area activitiesMaintain personnel files (electronic and physical) compliant with legal and organizational standardsMail sending, receipt & distribution Customer service functions- Face of the office, telephones, taking messages, and responding to inquiries.

Completes monthly birthday cards or other correspondence/communications.

Manage employment verification and support documentation request 3. Promotes professional image of the hospital and HR department: 4. Employee Relations and HR Programs Schedule employee meetings and follow ups as directed by HR leadershipMaintain confidentiality of sensitive information and situationsSupport events and activities, recognition initiatives, engagement events, ie birthdays, service, holidays, DEI observance 5.
Other department activities:
Maintains PESP files Assist in processing employee transactions, including new hires, terminations, status changes, etc. Badging & Parking System Administration, issuance, updates, changes, reprints etc.

Leave Administration Assists with Open Enrollment.

Supply ordering, office organization, and maintenance of HR forms and resourcesOther information:

OTHER SKILLS AND QUALIFICATIONS
Proficient typing and computer skills with word processing and spreadsheet applications. Experience in a Windows environment required.

WORK ENVIRONMENTNormal office environment, frequent use of keyboard and computer programs which hospital provides training.
PHYSICAL REQUIREMENTS
Primarily sedentary with frequent standing, walking and reaching. Talking, hearing, and visual acuity required.
