This position serves as an initial point of contact for employees with routine questions regarding payroll, pay dates, company policies, W-2s, benefits, and other general HR matters. The HR Assistant / Receptionist will provide accurate and timely information, identify when an issue requires additional assistance, and direct or escalate employee relations and other sensitive matters to the appropriate member of the Human Resources team. The position will also support recruiting, interview coordination, recruitment events, onboarding, and general facility reception responsibilities. This position is based at the facility reception desk and serves as a welcoming first point of contact for employees, visitors, candidates, vendors, and delivery personnel. The ideal candidate is approachable, organized, responsive, and comfortable working with employees at all levels. Bilingual proficiency in English and Spanish is required. Essential Responsibilities Employee Support Serve as a first point of contact for employees with routine Human Resources questions. Respond to basic questions regarding payroll, pay dates, deductions, W-2s, company policies, timekeeping, benefits, and other HR-related topics. Provide employees with accurate information and appropriate resources while maintaining confidentiality. Identify questions or concerns that require additional expertise and direct or escalate them to the appropriate HR team member. Recognize and appropriately escalate employee relations concerns, complaints, workplace conflicts, or other sensitive matters. Maintain a professional, approachable, and service-oriented presence when interacting with employees. Reception & Facility Support Staff the facility reception desk and serve as the first point of contact for employees, visitors, candidates, vendors, and other guests. Greet and assist visitors in a professional and welcoming manner. Follow established visitor sign-in and facility access procedures. Notify appropriate employees or departments when packages or deliveries arrive. Maintain a clean, organized, and professional reception area. Answer and direct incoming phone calls to the appropriate employee or department. Maintain and update the company's phone extension list to ensure information is accurate and current. Assist employees and visitors with basic questions and direct them to the appropriate person or department. Escalate facility or visitor-related concerns to the appropriate individual. Recruiting & Interview Coordination Schedule interviews and coordinate calendars between candidates, hiring managers, and Human Resources. Communicate interview details and logistics to candidates and interviewers. Assist with candidate communications and recruitment-related administrative activities. Support job fairs, recruiting events, hiring events, and other talent acquisition initiatives. Prepare materials and assist with logistics for recruitment events. Onboarding Assist with the onboarding process for new employees. Coordinate onboarding schedules, meetings, paperwork, and required documentation. Prepare new hire materials regarding company policies, benefits, payroll, timekeeping, and other employment-related processes. Coordinate with hiring managers and other HR team members to support a smooth new-hire experience. HR Administration Assist with maintaining accurate employee records and HR files. Prepare and distribute HR communications, forms, and other materials as needed. Assist with HR reporting, audits, and administrative projects. Maintain current employee contact and organizational information as needed. Support HR team members with special projects and initiatives. Maintain confidentiality of employee and company information. Perform other duties and responsibilities as assigned. Qualifications Required Bilingual in English and Spanish, both written and verbal. Strong customer service and interpersonal skills. Excellent communication skills. Strong organizational skills and attention to detail. Ability to handle confidential information with discretion and professionalism. Ability to prioritize multiple tasks and meet deadlines. Comfortable interacting with employees, visitors, candidates, vendors, and other guests. Proficiency with Microsoft Office, including Word, Excel, and Outlook. Preferred Associate's or Bachelor's degree in Human Resources, Business Administration, Organizational Management, or a related field . Previous experience in Human Resources, recruiting, payroll, employee support, reception, or an administrative role. Experience working in an employee-focused environment.

Physical / Work
Requirements Ability to work primarily at a reception desk and remain available to assist employees and visitors throughout the workday. Ability to work in an office and/or manufacturing environment as required. Ability to regularly communicate with employees and visitors in person, by phone, email, and other communication methods.
