Job Description
Position Summary The HR Assistant provides administrative and clerical support to the Human Resources function for a multi-state workforce. This role supports onboarding, recordkeeping, payroll and benefits coordination, and employee communications, while ensuring accurate documentation and timely processing of HR transactions. The HR Assistant does not make independent HR decisions and works under close direction of the HR Director. Key Responsibilities Administrative & Clerical Support
Maintain employee personnel files (electronic and physical) in compliance with federal and state requirements
Enter and update employee data in HRIS accurately and timely
Track acknowledgments, forms, and required documentation
Schedule meetings, interviews, and training sessions
Prepare HR correspondence and reports as directed Onboarding & Offboarding Support
Assist with new hire onboarding, including:
Offer letter distribution
I-9 and background check coordination
New hire paperwork and system access requests
Support offboarding processes:
Exit paperwork
Equipment return coordination
Benefits and payroll notifications Payroll & Benefits Support
Coordinate with Payroll Supervisor on:
New hire entries
Terminations
Pay changes (as approved)
Leave status updates
Assist employees with basic payroll and benefits questions
Support benefits enrollment and life-event changes
Help with open enrollment communications and tracking Employee Support
Serve as a first point of contact for routine HR questions
Route employee concerns to the HR Director appropriately
Maintain confidentiality of employee information
Assist with employee communications and announcements Compliance & Tracking
Track completion of required training (e.g., harassment prevention)
Assist with distribution of state-specific notices and postings
Support HR audits and compliance reviews
Maintain logs for leaves, training, and documentation What This Role Does NOT Do
Make decisions related to discipline, termination, or compensation
Interpret employment laws or policies
Conduct or lead investigations
Approve payroll or benefits changes (All such matters are handled by the HR Director and Payroll Supervisor.) Qualifications Required
High school diploma or equivalent (Associate's or Bachelor's degree preferred)
1-3 years of administrative or HR support experience
Strong attention to detail and organizational skills
Ability to handle confidential information with discretion
Proficiency in Microsoft Office or Google Workspace Preferred
Prior experience in an HR department
Familiarity with HRIS or payroll systems
Experience supporting multi-state employees
HR coursework or certification in progress Core Skills & Competencies
