Job Description
Job Summary:
The HR Shared Services Coordinator will play a vital role in supporting the HR department's overall operations. The role will focus not just on administrative tasks but also assisting with various HR functions and employee relations. Working in our Human Resources department, it's our mission to help support our workforce across our divisions. Our team works cross-departmentally as well as with our multi-state divisional counterparts to ensure overall employee experience. This role will work part-time in our Carson City facility. The role will report directly to the Corporate HR Director in California. Essential Job Functions and Duties (but not limited to): Operational and Administrative Support Support the operational/administrative process for all personnel actions for divisional employee, temporary workers, and/or interns: Assist with administrative tasks such as facilitating the application and onboarding process for new hires, including preparing manual paperwork, data entry in various platforms, filing and storage of employee records, conducting orientations, and ensuring a smooth transition into the organization. Function as a liaison for data and information between Corporate, Payroll, and Benefit activities. Provide and review employee data and documentation for accuracy, compliance, and reporting purposes Assist with annual HR cycles including performance review and open enrollment. Manage projects, as assigned, through completion. People Operations Coordinates HR information to ensure 100% integrity/accuracy of data entered into various HR systems including, but not limited to eCMS, Foley, DISA, EASE and E-Verify. Manages processes connected with the onboarding of new employees, transfers, and employee changes including but not limited to reviewing and submitting updates in HR Helpdesk, and other transactions as needed. Performs termination administration duties, and communication to respective departments. Maintains accurate records of documentation and transactions and ensure modifications/updates are entered in a timely manner, including creation of personnel files (physical and online copies). Efficiently manage and update employee records, including personal information, attendance, leave, and performance evaluations. Assist in maintaining compliance with employment laws and regulations. Ensure that all HR-related documentation and processes adhere to legal requirements. Respond to employee concerns and work jointly with the HR Director and HR Manager to resolve concerns. Employee Experience Demonstrate first class customer service to employees at all times via phone, meetings, and case management vendors. Support the positive culture and employee experience at Arizona Pipeline Co. Assist in drafting and distributing HR communications, such as policies, procedures, and announcements. Manage and deliver the onboarding and offboarding process of employees and facilitate new hire orientations as required. Provide initial communication and response to employee HR related questions, re-direct and escalate as applicable. Provide initial information regarding leave process to Field employees and re-direct as needed. Other duties as assigned.Job Requirements and Qualifications:
Accurate and efficient data entry and document processing. Familiarity with HRIS (Human Resources Information Systems) and MS Office Suite. Strong organizational skills with attention to detail. Excellent communication and interpersonal abilities. Ability to manage confidential information with discretion. Understanding of HR best practices and employment laws. Ability to multitask and prioritize tasks effectively.Required Education and Experience:
Bachelor's degree (preferred) in Business Administration, HR/Personnel Management or equivalent experience. Minimum of 3 years or more of proven experience as an HR Clerk, HR Assistant, or similar role. Experience working with IT systems and data. Experience managing multiple employee requests simultaneously Experience collaborating with employees via different communication stream such as text, telephone, in person or chat. Prior experience in manual processing and document handling.Working Environment:
Indoor office environment. May occasionally need to visit an offsite location. 100% Onsite Part-time role, may lead to a full-time position in future May require up to 10%Domestic Travel Pay:
