Job Description

Purpose of the
Job:
The Business Operations Specialist supports the mission of Victory Church by providing operational, HR, and financial coordination that helps the church run with excellence. This role strengthens systems, supports staff, and helps ensure resources and processes are managed with integrity, accuracy, and care
Experience and Knowledge Required:
Proven track record of effective time management Strong administrative, financial, and problem-solving abilities Ability to manage multiple projects and priorities effectively Experience with financial, HR, and operational systems (preferred: Sage Intacct, BambooHR, Microsoft 365, Bill.com, Pushpay) Exceptional organizational skills with strong attention to detail and follow-through Teachable spirit, strong work ethic, and commitment to excellence 3-5+ years of experience in HR, finance, or operations strongly preferred
Essential Functions and Responsibilities:
Support and execute HR systems, processes, and policies Process biweekly payroll and assist with payroll reporting (BambooHR / payroll system) Maintain accurate employee records, ensuring confidentiality and compliance Assist with onboarding and offboarding processes within HR systems Support recruiting efforts and staffing needs Help implement HR policies, benefits, and accountability structures Conduct audits of HR records and ensure proper documentation is maintained Upload retirement contributions (e.g., 403b) and support benefit-related reporting Serve as the primary liaison between Victory Church and RKL (outsourced accounting partner) Coordinate with RKL on accounts payable, receivable, and day-to-day bookkeeping activity Ensure timely and accurate communication of invoices, documentation, and financial needs Review financial reports and assist in identifying discrepancies or follow-up items Support the monthly close process in partnership with RKL and internal leadership Maintain vendor documentation (W-9s, payment info, etc.) and provide to RKL as needed Partner with RKL to reconcile donations, deposits, and giving records (Pushpay) Utilize Microsoft 365 tools (Excel, Teams, SharePoint) for reporting, tracking, and workflow management Support the Offering Count Team and financial stewardship processes Ensure accuracy in processing weekly tithes and offerings Assist with donor communication and giving records Groups (Expectation for All Staff) Lead at least one Group that is open for anyone to join Regularly recruit and develop new
