JOB DESCRIPTION
The Finance/HR Administrator oversees daily accounting operations (invoicing, AR/AP, payroll, reconciliations, month-end close), and HR administration functions and general office management. The Finance/HR Administrator will track any Sales tax nexus for all states, and file Sales and Use Tax Reports. This hybrid role ensures financial accuracy, and smooth, organized office operations In addition to this, the Finance/HR Administrator reports to the CEO to ensure that the company's overall strategy and goals are supported.
REQUIREMENTS
Bachelor's degree in Accounting, Finance, or Business Administration Minimum of 2-5 years of experience in accounting Strong proficiency in QuickBooks and MS Office Suite, especially Excel High attention to detail and accuracy, strong organizational abilities, and excellent verbal/written communication Smart, creative, energetic and conscientious with strong problem-solving skills Task-oriented with the ability to prioritize work with minimal supervision Ability to commute to office in Sorrento Valley.
TECHNICAL KNOWLEDGE
QuickBooks Online experience required Microsoft Office suite (Word, Excel, PowerPoint) Familiar with South Dakota vs Wayfair tax law changes Knowledge of the requirements of HIPAA and all appropriate Privacy and Security procedures is a plus.
RESPONSIBILITIES
Daily review Bank Accounts with
Business Suite Account Payable:
enter bills, resolve discrepancies, organize approvals, prepare payments
Accounts Receivable:
send monthly invoices, track payments, make deposits, follow up on missing payments as needed Prepare monthly financial reports and annual budget Provide information to CPA so they can file 1099's and
Tax Returns Payroll:
Track PTO, process and coordinate payroll with our Professional Employer Organization, who is our outsourced HR partner
HR:
Onboard New Employees and maintain a summarized list of all employees and key information Track and remind employees of required Security and Harassment Prevention training Coordinate internally with Sales and Customer Success to onboard new clients Maintain and organize company records and "paper trail" (audit-ready folders, clear notes).
