Job Summary The HR Administrator is a hybrid role responsible for supporting core HR operations—including payroll, benefits administration, and generalist-level HR support—while also providing administrative assistance to the CEO. This role combines the responsibilities of an HR Coordinator and a junior HR Generalist, with a strong operational focus and high attention to detail. This position plays a critical role in ensuring the accuracy and efficiency of HR processes while supporting executive-level administrative needs in a fast-paced medical device environment. Key Responsibilities Payroll & Benefits Administration Process and audit semi-monthly or bi-weekly payroll to ensure accuracy and compliance Maintain employee records and ensure data integrity within HRIS (e.g., Workday) Administer employee benefits programs including: Health, dental, vision, and retirement plans Open enrollment coordination and employee communication Leave of absence tracking (FMLA, state leaves, etc.) Serve as a primary point of contact for employee benefits questions (level 1 support) Coordinate with external vendors (payroll, benefits brokers, carriers) HR Generalist & Coordinator Support (Non-Employee Relations) Support onboarding and offboarding processes, including: Pre-employment checks and documentation New hire orientation and Day 1 readiness Assist with job postings, candidate scheduling, and recruiting coordination Maintain and update HR policies, SOPs, and compliance documents Run standard HR reports and support audits (EEO, AAP, internal audits) Ensure compliance with federal, state (WA/CA), and company policies Support training coordination and HR initiatives Provide basic HR guidance to employees (excluding employee relations issues) Executive Administrative Support (CEO) Manage and coordinate CEO calendar, including scheduling internal and external meetings Prepare and reconcile expense reports in Concur Coordinate travel arrangements, logistics, and itineraries Assist with preparation of presentations, meeting materials, and communications Act as liaison between CEO and internal teams when needed Support special projects and ad hoc requests from the CEO General Administrative & Operational Support Assist with office coordination activities as needed Maintain HR files, documentation, and shared resources Support cross-functional administrative needs across departments Perform other duties as assigned to support HR and executive leadership Qualifications Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience) 2-5 years of experience in HR, HR coordination, or similar administrative role Experience supporting payroll and benefits administration Strong organizational skills with ability to manage multiple priorities High level of discretion and professionalism handling sensitive information Proficiency with HRIS systems (e.g., Workday), Microsoft Office, and Concur or similar expense platforms Preferred Experience in a medical device, biotech, or regulated environment Familiarity with multi-state compliance (WA, CA preferred) Exposure to onboarding workflows, audits, or compliance documentation HR certification (SHRM-CP or PHR) Key Competencies Attention to detail and accuracy Strong time management and prioritization Effective communication (written and verbal) Customer service mindset with employees and leadership Ability to operate independently in a dynamic environment Work Environment Fast-paced, growing medical device organization Collaborative HR team supporting ~165 employees across locations Role requires a balance of structured HR processes and flexibility to support executive needs
Range:
$30-35/hour. Compensation is based on job-related knowledge, skills, experience, education, certifications, internal equity, and market conditions. This position may also be eligible for annual bonus and/or other incentive compensation.
