Job Summary The Human Resources Coordinator provides day-to-day administrative and operational support to the Human Resources department, helping create a welcoming, responsive, and positive HR experience for employees and prospective employees. The successful candidate will bring a warm, service-oriented approach, strong organizational skills and attention to detail, and the ability to work independently within established processes while recognizing when guidance or escalation is needed. Essential Responsibilities Recruitment and Hiring Support Post job openings and monitor recruiting platforms. Schedule interviews and coordinate interview logistics with candidates, hiring managers, and interview panels. Maintain applicant tracking system records and provide timely, welcoming communication to prospective employees throughout the recruitment process. Assist with background checks and pre-employment processes. Support the offer process by communicating approved offers to selected candidates and preparing related offer and pre-employment documentation. Maintain candidate and recruitment records. Onboarding and Employee Support Coordinate new hire onboarding activities. Prepare orientation materials and employee welcome communications. Monitor completion of required onboarding documentation and follow up on outstanding items. Ensure required employment documents are completed and properly filed. Serve as a welcoming first point of contact for routine employee questions, providing assistance when possible and connecting employees with the appropriate HR team member when needed. Assist with employee events, recognition programs, and engagement initiatives. HR Administration Maintain electronic personnel files and HR records. Enter and update employee information in HR systems. Process employee status changes, including new hires, transfers, and separations. Audit HR records for completeness and accuracy and follow up on missing documentation. Track routine HR transactions, deadlines, and outstanding items through completion. Assist with HRIS data cleanup and maintenance. Prepare recurring HR reports, spreadsheets, and data summaries and assist with HR-related audits and reporting, including employee records, I-9s, and 401(k) documentation. Maintain department forms, templates, and documentation. Benefits and Payroll Coordination Support benefits enrollment processes, employee communications, and annual open enrollment activities. Respond to routine benefits and payroll questions and escalate complex issues to the appropriate HR or Payroll team member. Coordinate employee documentation related to payroll and benefits changes and ensure information is submitted accurately and on time. Work closely with HR and Payroll to support accurate employee data. Compliance and General Support Maintain confidentiality of employee information. Assist with HR audits, reporting, and record-retention activities. Follow established HR policies, procedures, and regulatory requirements and assist with compliance-related administrative activities. Resolve routine HR administrative matters within established processes and escalate complex employee relations, benefits, payroll, compliance, and policy matters to the appropriate HR team member. Prepare correspondence, meeting materials, and presentations. Perform other administrative duties as assigned. Required Qualifications High school diploma or equivalent required. One year of administrative, customer service, office support, or related experience preferred. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Ability to manage multiple tasks and meet deadlines. Ability to maintain confidentiality and professionalism. Ability to work independently within established processes, manage competing priorities, and recognize when guidance or escalation is needed. Preferred Qualifications Associate degree in Human Resources, Business Administration, or related field. Experience supporting recruiting, onboarding, benefits, payroll, or other HR processes. Experience using HRIS, payroll, recruiting, benefits administration, timekeeping, or PEO systems. Experience with BBSI, TimeClock Plus, and/or Employee Navigator is a plus. Experience in higher education, healthcare, or another regulated environment is a plus. Demonstrated interest in supporting HR operations and employee services. Knowledge, Skills, and Abilities Warm, approachable, and service-oriented communication style. Ability to build positive working relationships and create a welcoming experience for employees and prospective employees. Strong attention to detail and accuracy. Ability to prioritize work and stay organized. Ability to learn new systems and processes quickly. Professional judgment and discretion when handling sensitive information. Commitment to providing responsive and professional support. Working Environment This is a primarily remote position with occasional attendance at meetings, orientations, training sessions, and University events. Work requires frequent use of a computer and standard office equipment and occasional physical activity associated with HR events, meetings, orientations, and handling office materials. Screening Requirements Final candidates must successfully complete a background check and drug screen. Proof of measles vaccination or titer results is required unless an approved religious or medical exemption is on file.
