For more information about Harvard GSD see: gsd.harvard.edu/. ing to the Assistant Dean of Human Resources, the Part-time Human Resources Assistant supports the overall administrative operations of the Human Resources office for the Harvard Graduate School of Design.
TYPICAL DUTIES AND RESPONSIBILITIES
- Administrative Support Supports the GSD HR staff in a busy, small, multi-faceted office.
- Serves as first contact person for GSD Human Resources Office and provides information in person, via email, and on the telephone to staff, faculty, students, and the general public.
- Monitors general HR email in-box.
- Assists in drafting and filing employee status change letters (promotions, equity adjustments, schedule changes, term appointment extensions, etc.)
- Creates and maintains confidential electronic staff files.
Maintains and updates job descriptions and human resource documents on point. Talent Acquisition and Onboarding Support Assists with the recruitment and hiring process of staff positions by advertising positions externally, coordinating interview schedules and campus visits, updating policies and documents for the new staff orientation packets, and assisting with onboarding new staff.
Disseminates interview feedback surveys and collects results, sharing with recruiter and hiring manager.
May conduct pre-employment screenings and resume reviews. Staff Engagement & Event Support Assists in coordinating staff engagement events, as well as other staff meetings and school-wide events, such as All-Staff meetings, by determining key participant availability and making reservations for rooms via the online system. Reserves audio visual equipment, and/or catering and room set up as required.
Maintains RSVP lists for trainings and events. Maintain and track event expenses.
May assist with scheduling department-wide meetings.
Maymunicate and track approvals for professional development funding requests; may track staff training requests.
Assists with employee recognition program and longer service list creations and maintenance, ensuring names are updated on
GSD HR . PHYSICAL REQUIREMENTS
Applicants must be able to perform typical office tasks, including sitting for extended periods, using standard office equipment, and occasionally lifting up to 20 pounds. Reasonable amodations may be made to enable individuals with disabilities to perform essential functions.
May be required to handle mail and small packages; May involve room set up for events such as moving chairs and tables.
WORK ENVIRONMENT
Work is mainly performed in an office setting.
This position is based at the Harvard Graduate School of Design in Cambridge, Massachusetts. The position is hybrid and requires regular on-campus work, with the schedule of in-office and remote hours determined in consultation with the supervisor. The temporary employee may need to work on campus more frequently depending on meetings, events, and departmental priorities.
Wednesday/Thursday on campus required.

Qualifications:
BASIC QUALIFICATIONS
Bachelor's degree or an equivalentbination of education, training and experience.
Minimum of two years of related office administration experience required.
Experience with MS Office (Outlook, Excel, point, etc.).
ADDITIONAL QUALIFICATIONS AND SKILLS
Excellent customer service, interpersonal andanizational skills.
Excellent reliability and attendance required.
Must be able to handle confidential materials with discretion.
Demonstrated ability to keep a consistent schedule.
