Job Title:
Recruiting Operations Specialist / Recruiting Coordinator Job Description The Recruiting Operations Specialist supports talent acquisition delivery teams across the U.S. and Canada, partnering with both experienced and early talent recruiting. This role sits within the Planning and Recruiting Operations group and plays a key part in high‑volume interview scheduling, position planning, requisition creation, and pre‑employment screening workflows. The position is open due to turnover and is critical for balancing workload across the team. The successful candidate thrives in a fast‑moving, evolving environment, demonstrates strong learning agility, and brings confidence and sound judgment to front‑line interactions with candidates, hiring teams, and HR partners. Responsibilities Manage high‑volume interview scheduling, typically 500 or more interviews annually, across multiple business groups and talent acquisition partners. Create and update Workday requisitions, ensuring accurate position planning and proper routing to the correct stakeholders. Coordinate closely with 6-7 assigned talent acquisition partners to schedule interviews, gather required details, and ensure smooth handoffs throughout the process. Proactively communicate with candidates regarding interview scheduling, travel arrangements, reimbursements, and next steps in the hiring process. Support pre‑employment screening processes in collaboration with the screening team, ensuring timely and accurate completion of required checks. Identify issues within recruiting operations, troubleshoot independently whenever possible, and escalate only when appropriate. Maintain strong working relationships with talent acquisition delivery teams, HR business partners, hiring managers, and interview teams. Contribute to the development and maintenance of standard work practices that support cross‑training and consistent team coverage. Participate in onboarding, shadowing, and reverse‑shadowing activities to learn new processes and to train colleagues. Adapt quickly to evolving workflows during Workday hypercare and ongoing process improvements, providing feedback and supporting change implementation. Ensure a high level of organization, accuracy, and follow‑through across all recruiting coordination activities. Manage candidate logistics, including travel coordination and reimbursement processes, in alignment with internal guidelines. Essential Skills Minimum of 2 years of experience as a Recruiting Coordinator or Talent Acquisition Operations Specialist. Demonstrated experience scheduling high‑volume interviews in a corporate environment. Experience supporting multiple recruiters or talent acquisition partners simultaneously. Hands‑on experience with Workday Recruiting, including requisition creation and position planning. Proven ability to manage high‑volume interview scheduling across multiple business groups. Strong communication skills with the confidence to interact professionally with candidates, hiring teams, and HR partners. Ability to work independently, solve problems, and use sound judgment in ambiguous situations. High attention to detail, strong organizational skills, and consistent follow‑through. Ability to multitask effectively while maintaining accuracy in a fast‑moving environment. Demonstrated learning agility and comfort working within fluid and evolving processes. Additional Skills & Qualifications Experience in talent acquisition operations and pre‑employment coordination. Experience coordinating candidate logistics, including travel and reimbursements. Ability to build and maintain strong relationships with cross‑functional stakeholders such as HR business partners, hiring managers, and interview teams. Comfort working in a high‑volume, fast‑paced recruiting environment. Experience contributing to standard work practices and process documentation. Experience participating in onboarding, shadowing, and reverse‑shadowing to support team learning and cross‑training. Work Environment This role follows a hybrid work model based in Davidson, NC. From Monday to Thursday, you work onsite alongside your colleagues to support close collaboration with talent acquisition teams, HR partners, and hiring managers. On Fridays, you may choose your work location, balancing your responsibilities and team needs. The environment is fast‑paced and evolving, particularly due to recent Workday implementation and hypercare activities, and involves frequent use of Workday Recruiting and other talent acquisition tools. You will work in a collaborative office setting that emphasizes teamwork, communication, and continuous process improvement. Job Type & Location This is a Contract position based out of Davidson, NC. Pay and Benefits The pay range for this position is $25.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
