Job Description

Overview We are seeking an entry level Office Coordinator to join our team! In this vital role, you will be the heartbeat of our office operations, following financial policies and procedures, preparing financial statements, paying invoices, and preparing payroll. Assisting with general human resource functions. If you excel at multitasking with enthusiasm, we want to hear from you! Duties Submit invoices to grant agencies for reimbursement. Handle clerical tasks such as filing, bookkeeping, and record-keeping. Handle ordering of supplies. Arrange for repairs to be made. Assist with human resources functions such as onboarding new employees, maintaining personnel records, and preparing payroll for processing. Enter and prepare payments using QuickBooks. Reconcile bank statements monthly. Assist the Executive Director in preparing budgets for the organization, programs, and funding proposals. Ensure fiscal policies and procedures comply with federal and state laws. Prepare for annual fiscal audit. Run documents from QuickBooks to submit to the board of directors. Attend community awareness events. Assist walk-in clients by providing food boxes and clothing. Assist other team members when needed. Other duties assigned by the Executive Director. Qualifications Proficiency in QuickBooks for bookkeeping is highly desirable. Excellent communication skills and the ability to interact confidently with vendors, clients, community and team members. Strong organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail. Some experience in public speaking. The ability to work after hours on occasion. Working Conditions Stand, walk, or sit for extended periods of time. Move furniture. Assist with cleaning up and organizing storage buildings, You may be required to talk, hear, reach, climb or balance, stoop, kneel, or crouch. You will be required to lift or move over 25 lbs. Drive to various locations, including shelter and community partners.
