Position Details Position Information Position Title Human Resources Assistant Position Number S117PD Branch Business Affairs (BR) Division Business Affairs (DIV) Department Human Resources Location Jackson FLSA Non-Exempt Job Summary This position is responsible for providing administrative support to the Office of Human Resources. About Union University Founded in 1823, Union University is a private, coeducational liberal arts-based university offering bachelor's, master's, and doctoral degrees, with a total enrollment of about 2,600. The main campus is located in Jackson, Tenn., with additional campuses in Memphis and Hendersonville. Essential Job Duties Assist the Associate VP for HR and the HR Manager in the administration of the employment application intake process. Work with the HR Manager in the placement of job announcements on Union's website. Place advertisements online and in print in trade outlets. Arrange for payment of the advertisements and coordinate with each hiring manager regarding renewals and extensions. Coordinate the new employee onboarding process, including online hiring forms, and E-Verify submissions. Administer the background check system for all employees, including new hires, five year renewals, camp workers, and volunteers. Maintain knowledge of the payroll system and provide payroll support to the Payroll and Benefits Manager in processing the student employee payroll. Process and set up new adjunct instructors into the payroll system, including the coordination and compilation of onboarding documents. Assist in scheduling new employee orientation sessions for the Payroll and Benefits Manager, Including arranging for computer access of new employees, and compile new employee packets. Prepare packets for faculty candidates' Benefits Review meetings. Assist the Associate VP for Human Resources, the Human Resources Manager, and the Payroll and Benefits Manager with human resources-related projects and events including compiling employee research data, completing surveys, and other related activities. Coordinate, with HR Manager, Workers' Compensation reporting. Receive initial report of work-related injury and filing worker's compensation claim with insurance agency. Coordinate subsequent care needs with employee and WC insurance company. Maintain WC records and compile data for government filings. Coordinate building and office key requests for faculty and staff. Assist in the processing of employee undergraduate and graduate tuition discount requests. Research, using Colleague, the application of the employee discount to individual student records. Verify and determine any amounts owed by departing employees. Assist with the planning, set-up, and execution of HR events (e.g., Leadership Union, Health and Benefits Fair, employee luncheons and dinners). Schedule events in Event Manager. Arrange for the catering, AV tech support, and photography needed for each event. Coordinate with Special Events Manager for event plans including menus, room set-ups and agendas. Purchase items needed for each event. Coordinate the retirement recognition program, including maintaining a list. Serve on committees that support employee activities including United in Giving, Children's Christmas Event, Union Christmas, Back to School Dinner, and others as needed. Assist the HR Manager with the coordination of the New Staff Orientation program. Other Job Duties Provide assistance on Human Resources projects as assigned. Required Qualifications Graduation from high school or equivalent and two years of clerical experience, or an equivalent combination of training and experience. The successful candidate will have strong organizational skills and be able to handle confidential material. The candidate must also have strong relational skills and be able to work in a fast-paced college environment, managing multiple projects at once. Excellent written and verbal communication skills required, with demonstrated proficiency in Word, Excel, and other Microsoft Office technology. Preferred Qualifications Preference will be given to applicants who hold an undergraduate degree and/or have previous experience as an administrative assistant, office manager, or in the human resources field.
