JOB PURPOSE
The People Services Coordinator is responsible for providing high-level administrative support, managing daily office operations, and assisting with Human Resources initiatives. This role blends executive support (80%) with office management responsibilities (20%), ensuring seamless coordination of the SVP, People & Cultures priorities while maintaining an efficient and welcoming office environment. Key Responsibilities Assistant Support (SVP, People & Culture) - ~80% Manage and maintain the SVP's calendar, including scheduling meetings, prioritizing commitments, and resolving conflicts Coordinate and arrange travel, including flights, accommodations, and transportation Prepare meeting materials, agendas, and presentations; take notes and track follow-ups as needed Serve as a primary point of contact for internal and external stakeholders on behalf of the SVP Assist with special projects, research, and reporting as directed Maintain confidentiality and exercise discretion with sensitive information Anticipate needs and proactively manage administrative tasks to support executive efficiency Office Management - ~20% Oversee daily office operations to ensure a smooth and efficient work environment Coordinate office vendors, supplies, and general workplace needs Support and/or supervise reception area Assist in planning and coordinating office events, meetings, and company functions Maintain a professional and welcoming office experience for employees and visitors HR Support & Projects Provide general support to the HR team as needed across functions Help maintain documentation, reports, and HR-related trackers Support special HR projects and ad hoc assignments aligned with departmental priorities Qualifications Qualifications 3-7+ years of experience in an Assistant, Office Manager, or similar role supporting senior leadership Strong organizational and time management skills with the ability to multitask effectively Excellent written and verbal communication skills High level of discretion and professionalism Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) Experience supporting HR teams or exposure to HR functions is strongly preferred Key Competencies Highly organized Proactive and solutions-focused Strong interpersonal skills with the ability to build relationships across all levels Ability to prioritize in a fast-paced environment Dependable, flexible, and team-oriented
