JOB DESCRIPTION
Assist in the efficient operation of the Human Resources Department reception area. DUTIES and
RESPONSIBILITIES
Assist Switchboard/Receptionist as needed. Greet visitors and respond to routine inquiries from staff and public in both English and Spanish. Exercise professional telephone etiquette, receive incoming calls, answer routing questions, take reliable messages, and route to appropriate staff. Assist individuals with the application and employment process in both English and Spanish. Maintain appropriate logs through Microsoft Excel program. Scan and upload received resumes and associated application documents. Perform clerical duties assisting staff. Route and distribute department mail. Verify education of substitute applicants during the hiring process. Make daily job offers by phone and keep a detailed record of such job offers to assist with unemployment compensation cost management. Assist current and former employees with accessing technology systems, including resetting passwords, using appropriate technology systems. Manage the electronic HR Requests folder, which includes monitoring, receiving, and routing name and address changes and credential requests. Receive resumes and transcripts submitted by applicants, and scan, upload, and electronically file such documents into applicant tracking system. Receive critical, required documents from applicants recommended for hire, including transcripts, certifications, service records, etc., and scan, upload, and electronically file such documents into the Laserfiche electronic records management system. Keep details log of documents received for all applicants recommended for hire. Assist in the onboarding process by verifying identification and work authorization documents and making copies of such documents in preparation for completion of the I-9 form. Assist employees in the process of requesting new and replacement identification badges through the Badge Request site. Distribute badges to employees and maintain a detailed log of badges that have been retrieved. Evaluate the needs of employees regarding leaves of absences and supply the appropriate paperwork. Assist in the preparation of recruiting materials for job fairs and recruiting events. Exercise outstanding customer service skills, including diffusing and assisting current and former employees and applicants who are maneuvering through extremely sensitive issues. Coordinate print and work orders. Perform Notary duties. Operate Finance system. Maintain confidentiality. Regular attendance. Perform other duties as assigned by supervisor.
EXPERIENCE
One to three years secretarial experience
QUALIFICATIONS
Education/Certification:
High School Diploma or GED Special Knowledge/Skills:
Proficient skills in typing, word processing, and file maintenance Proficient skills in Excel and PowerPoint Effective interpersonal skills Excellent communication skills Basic math skills General computer knowledge General knowledge of responsibilities of each department General knowledge of responsibilities of each division within Human Resources General knowledge of geographical location of schools and the District in general
