ESSENTIAL FUNCTIONS
1.Coordinate appointments, seminars, travel arrangements and business activities as requested. Review arrangements and receive approval from Facility Director within 24 hours of request. 2.Type correspondence and memos for Facility Director when requested. Review all correspondence for accuracy. 3.Record the minutes of staff meetings. Type the minutes, and prepare a new agenda for the next staff meeting, by the end of each week. E-mail a copy of the staff meeting agenda and minutes to Corporate within 3 days of the meeting. 4.Prepare monthly reports as requested. 5.Accurately maintain all files for Facility Director. 6.Handle incoming phone calls for Facility Director in a courteous manner. 7.Immediately handles fax transmittals as requested by Facility Director. 8.Appropriately disperses staff mail for Facility Director as required. 9.Maintain strict confidentiality on all client and foundation matters and refer questionable issues to your supervisor. 10.Work closely with the Human Resources Department regarding all new hire paperwork, personnel file maintenance, staff timecard follow-up, PTO requests and any other HR items. 11.Accurately maintain and update required regulatory training required of all facility staff. 12.Accurately maintain and update required certification by reviewing staff certifications in the first week of each month. Schedule CPR and First Aid Certification as needed. 13.Responsible for recruiting, interviewing, and facilitating selection of qualified applicants for assigned positions. 14.Manage applicant tracking system for assigned positions ensuring accurate selection criteria and follow up communication with candidates. 15.Coordinate the applicant selection process with hiring managers. Follow up with hiring managers weekly or more frequently as needed for critical positions. 16.Maintain professional, effective, and timely communication with all candidates to ensure a positive candidate experience. 17.Assist other facility departments as requested by Facility Director. 18.Immediately communicate inappropriate resident or staff behavior to Facility Director. 19.Ensure completion of Big 5 performance management tool by the required deadlines and use of SMART goals to support annual performance compensation review. 20.Work closely with Facility Director to uphold the core principles of Cenikor's culture and contribute to a positive working environment for all team members. 21.Perform additional duties as assigned and consistent with the non-exempt functions as defined in this job description.
QUALIFICATIONS FOR THE POSITION
Skills, Knowledge and Abilities:
Knowledge of administrative and clerical procedures. Ability to work with exceptional organization and great attention to detail. Ability to communicate effectively. Ability to monitor GED testing on Saturdays Knowledge of Microsoft Office software programs. Education:
High School Diploma or GED. Some college is preferred.
Experience:
Three years of related experience preferred. Experience with software including Microsoft Word, Excel & Outlook.
Physical Requirements:
Sitting in normal position for extended periods of time. Reaching by extending hand(s) or arm(s) in any direction. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard. Communication skills using the spoken word. Ability to see within normal parameters. Abiity to hear within normal range. Ability to move about.
