Job Description

Productiv Inc. is a fast-paced warehouse and fulfillment company in the DFW area, supporting kitting, assembly, and distribution operations for major brands nationwide. Our Dallas-Grapevine campus is a central hub for value‑added services, and our success depends on bringing in reliable, hard‑working team members who keep staffing and onboarding running smoothly. On the HR team, we operate as a small, collaborative group that values professionalism, learning, and genuine kindness. We are building processes and workflows to support our rapid growth, and we're looking for people who want to grow with us, not just "clock in and out."
ROLE SUMMARY
We are hiring two Bilingual Onboarding & Staffing Assistants to be the front‑line face of our HR team. This role sits at the front desk and focuses on staffing and onboarding for our Spanish‑speaking production workforce, from greeting walk‑in applicants to getting new hires fully set up for day one. You do not need prior HR experience. We're looking for strong work history, customer service skills, and emotional intelligence. If you can stay calm in a busy environment, treat everyone with respect, and communicate clearly in both English and Spanish, we can teach you the rest.
WHAT YOU'LL DO
Greet and check in walk‑in applicants and scheduled candidates, primarily Spanish‑speaking production workers, and guide them through the application and onboarding steps. Conduct new‑hire paperwork sessions in Spanish and English, ensuring forms are complete, accurate, and compliant. Enter and update candidate and employee information in HR systems, with a high level of accuracy and confidentiality. Coordinate start dates, orientations, and line assignments with HR and operations so new hires know where to go and what to expect on day one. Answer front‑desk phones and in‑person questions from applicants, employees, and supervisors in a professional, solutions‑oriented manner. Help maintain organized digital and physical employee files and onboarding documentation. Support seasonal hiring surges (especially May-September) by moving applicants efficiently through the process and keeping recruiters informed of daily progress. Partner closely with the Talent Acquisition Manager and HR team as we build and refine workflows, sharing observations and ideas for improving the applicant and new‑hire experience.

The challenging:
The front desk can be non‑stop. Many days you will be onboarding back‑to‑back Spanish‑speaking applicants and answering constant questions. Our business has grown rapidly, and busy season (May-September) can be intense; you need to be comfortable with high volume and changing priorities. We are still building and tightening processes. If you need everything to be perfect on day one, this may not be a fit. If you can help us build better systems, you'll thrive.
WHAT WE'RE LOOKING FOR
Bilingual in English and Spanish; you must be able to explain forms and processes clearly in both languages. At least 3-5 years of consistent work history in roles such as customer service, retail, hospitality, call center, or office/administrative support. Strong attendance and reliability record over the last 5 years; we will be looking for stability and commitment. Excellent customer service skills, with the ability to stay patient, professional, and respectful with people from many backgrounds.
High emotional intelligence:
you know how to handle difficult situations, give clear boundaries, and represent HR with maturity. Comfortable with basic computer work (email, calendars, data entry, Microsoft Office); experience with HR or applicant tracking systems is a plus but not required. Able to work in a fast‑paced environment with frequent interruptions, while keeping paperwork accurate and organized. Available for full‑time, in‑person work in Grapevine, TX, with flexibility during peak hiring season (May-September).
SCHEDULE
Monday-Friday 8:00 AM - 4:30 PM (30 minute lunch)
