Human Resources Position Summary:
Reporting to the Director•HR Systems, the HR Systems Coordinator functions as a technical lead for the systematic infrastructure of HR, ensuring seamless data integration and record integrity across all platforms and state-reporting cycles. A primary focus of this position is the outward-facing management of PEIMS (Texas) , eFinance (Arkansas) , and EMIS (Ohio) reporting, ensuring that staff data is accurately reflected for state funding and compliance. This individual will assist as a trainer for staff using HR platforms.
Qualifications:
Education:
Associate's or Bachelor's degree in Information Systems, HR, or Business preferred; or equivalent high-level data experience in a school administration setting.
Experience:
3+ years of experience in
HRIS/SIS
administration (K-12 experience highly preferred). Proven track record with state-mandated reporting (e.g., Texas PEIMS, Arkansas State Reporting). Technical Understanding (Preferred):
Student/Finance Systems:
Skyward (Qmlativ or SMS 2.0).
HR/Payroll:
Paylocity.
Talent Management:
TalentEd (Perform/Hire/Records).
Substitute/Leave:
Red Rover or Frontline.
Special Knowledge/Skills:
Data Synchronization:
Understanding of systems integrations and data mapping from each system and between vendors.
Analytical Communication:
Ability to identify data trends/errors and present it clearly to Campus Leaders or Home Office leadership. Knowledge, Skills, and Abilities (KSAs):
System Integration:
Understanding of how data flows between disparate platforms (e.g., how a hire in TalentEd populates Skyward ); ability to troubleshoot "sync" errors and maintain API or flat-file integrity.
State Reporting Knowledge:
Comprehensive knowledge of K-12 state reporting requirements, specifically Texas PEIMS , as well as a working knowledge of Arkansas eFinance/State Reporting , and Ohio EMIS ; familiarity with staff coding, certification requirements, and salary compliance.
Advanced Data Analytics:
Proficiency in Google Sheets and Microsoft Excel (VLOOKUPs, Pivot Tables, Power Query) to audit datasets, identify discrepancies, and prepare "clean" files for state submission.
Performance Management Systems:
Ability to build, maintain, and pull compliance reports from evaluation platforms like TalentEd Perform , ensuring Teachers and Campus Leaders meet state-specific evaluation cycles.
Cross-Functional Communication:
Strong verbal and written skills to translate technical system "bugs" into actionable instructions for campus leaders; comfortable presenting data trends or training modules to groups.
Logistical Planning:
Exceptional organizational skills to manage the "HR Systems Calendar," ensuring that multi-state deadlines for data submissions (e.g., PEIMS), evaluations, and state reporting never lapse.
Problem-Solving:
A proactive approach to learning new software (like Red Rover and Paylocity ) and serving as the "go-to" troubleshooter for technical HR needs.
Essential Duties and Responsibilities State & Federal Reporting PEIMS/State Compliance:
Lead the HR portion of state submissions (Texas PEIMS, as well as Ohio EMIS and Arkansas, as necessary) to ensure accurate staff coding, certification verification, and salary reporting for funding purposes. Civil Rights Data Collection (CRDC): Manage the biennial federal reporting requirements regarding staff demographics and placements.
Charter School Governance:
Assist with managing the annual process. EEO-1 and EEO-5
Reporting:
Ensure all federal labor reporting is completed accurately and on time across all applicable organizations.
System Synchronization Technical Lead:
Act as the "Super User" for Skyward, TalentEd, Paylocity, Red Rover, and other systems.
Data Integrity:
Perform regular audits; for example, to ensure a new hire in TalentEd flows correctly into Skyward and assist with the annual Skyward SMS roll over process each school year.
Process Automation:
Identify opportunities to eliminate manual data entry by optimizing system workflows and "sync" schedules.
Performance & Evaluation Management System Design:
Build and maintain the evaluation templates within TalentEd Perform , or related systems, across different states.
Compliance Tracking:
Able to provide real-time dashboards/updates to Campus Leaders and Brand Leaders showing evaluation completion rates to ensure compliance.
Logistics & Training User Support:
Provide technical support to all staff levels encountering system errors.
Professional Development:
Lead training sessions (virtual or in-person) on "System Best Practices."
Logistics Management:
Assist the HR Team in the planning of projects, such as reporting, data imports and mass salary uploads.
Other Duties Travel:
As required.
