JOB SUMMARY
The Human Resources & Payroll Coordinator is responsible for managing payroll, employee relations, human resources administration, benefits administration, financial reporting support, and various accounting and administrative functions across the organization. This position serves as a key resource for employees and management, ensuring compliance with company policies, maintaining accurate employee records, supporting financial processes, and coordinating employee lifecycle activities from onboarding through termination. Essential Duties and Responsibilities Payroll & Accounting Administration Process payroll accurately and timely through QuickBooks. Maintain payroll records and ensure compliance with federal, state, and local regulations. Prepare and issue company checks. Reconcile accounts for all entities. Process outgoing ACH payments. Manage Positive Pay submissions. Maintain incoming invoices. Assist with financial recordkeeping and accounting administration. Support month-end and year-end accounting processes. Human Resources Administration Coordinate all new hire onboarding activities, including completion of employment documentation. Prepare and distribute offer letters. Maintain employee personnel files and HR records. Process employee status change forms. Coordinate employee meetings and assist with employee relations matters. Track and manage annual employee performance reviews. Administer employee corrective action documentation and tracking. Prepare and maintain incident reports and related documentation. Coordinate termination processes, including employee exit procedures and required documentation. Manage termination checklists and ensure removal of access from STMW systems. Maintain confidentiality of employee and company information. Benefits Administration Enroll new hires in Employee Navigator and applicable benefit programs. Manage employee benefits through Employee Navigator, BCBS, and AFLAC platforms. Process benefit changes and qualifying life event updates. Coordinate termination of benefits for departing employees. Ensure accurate employee benefit records and compliance with plan requirements. Training & Compliance Coordinate monthly employee training programs and training records. Monitor training completion and compliance requirements. Maintain HR compliance documentation and records. Assist with policy communication and implementation. Reporting & Administrative Support Prepare and distribute Accounts Receivable (AR) balance reports via email. Generate monthly Profit & Loss statements and other financial reports. Compile HR and operational reports as requested by management. Maintain accurate records and tracking systems. Support management with special projects and administrative initiatives. Qualifications- Education & Experience Associate's degree in Human Resources, Business Administration, Accounting, or related field preferred. Minimum of 3 years of experience in Human Resources, Payroll, Accounting, or Administrative functions. Experience with QuickBooks required. Experience with payroll processing and benefits administration preferred. Experience in a manufacturing environment is a plus. Strong knowledge of payroll processes and HR practices. Proficiency in QuickBooks and Microsoft Office Suite. Strong organizational and time management skills. Excellent verbal and written communication abilities. Ability to handle confidential information with discretion. Strong attention to detail and accuracy. Ability to manage multiple priorities and deadlines. Problem-solving and employee relations skills. Knowledge of employment laws and HR compliance requirements.
