226 Days (Adjust as applicable) Primary Purpose Serve as the first point of contact for visitors, staff, parents, and community members entering the Central Administration building while providing administrative and operational support to the Human Resources Department. Assist with substitute program management, onboarding activities, employee records, some student records processing, and confidential personnel functions to ensure efficient district operations. Provide bilingual communication and customer service support in both English and Spanish. Qualifications Education/Certification High school diploma or GED required Associate degree or college coursework preferred Special Knowledge/Skills Bilingual (English/Spanish) required with the ability to communicate effectively, both verbally and in writing, with employees, applicants, parents, and community members. Strong customer service and interpersonal skills Excellent verbal and written communication skills Ability to maintain confidentiality and exercise sound judgment Proficient in Microsoft Office, Google Workspace, and district software systems Ability to manage multiple priorities in a fast-paced environment Strong organizational and attention-to-detail skills Knowledge of public school operations preferred Experience with Skyward or other student/personnel information systems preferred Experience Minimum two years of administrative, office support, human resources, or customer service experience preferred Previous public school district experience preferred Major Responsibilities and Duties Reception and Customer Service Serve as the primary receptionist for the Central Administration building. Answer and route incoming telephone calls in a professional and timely manner. Welcome and assist visitors, parents, employees, vendors, and community members. Provide bilingual support and interpretation services in English and Spanish as needed. Translate or assist with communications and forms when appropriate. Maintain visitor sign-in procedures and provide general district information. Receive and distribute incoming mail, packages, and deliveries. Maintain a professional and welcoming front office environment. Human Resources Support Assist with the management and coordination of the district substitute program. Support substitute onboarding activities, orientation sessions, and required paperwork processing. Verify completion of background checks and employment eligibility documentation. Assist with employee onboarding and personnel records maintenance. Prepare and process various employment documents and forms. Maintain confidential personnel files and records in accordance with district procedures. Assist applicants and employees with Human Resources processes and procedures. Student Records and Custody Support Assist with entering and maintaining student record information related to custody arrangements, court orders, protective orders, and authorized access restrictions. Ensure student records are updated accurately and confidentially. Coordinate with campus staff regarding custody documentation and student access information. Maintain confidentiality and compliance with all applicable privacy laws and district procedures. Administrative Support Provide clerical and administrative support to Human Resources staff. Prepare reports, correspondence, spreadsheets, and other documents. Assist with scheduling meetings, trainings, and interviews. Support district hiring events, substitute trainings, and employee orientation sessions. Maintain office supplies and coordinate purchasing requests as assigned. Perform other duties as assigned. Working Conditions Mental Demands Maintain emotional control under stress. Work with frequent interruptions and changing priorities. Maintain strict confidentiality. Physical Demands Prolonged periods of sitting, standing, and computer use. Frequent telephone and in-person interaction with employees and the public. Occasional lifting of materials up to 25 pounds.
