Intracoastal Marine is seeking an experienced, organized, and dependable Human Resources Coordinator to join our team. This position will support a variety of HR, payroll, employee documentation, benefits, credentialing, and administrative functions within our marine operations.
Responsibilities:
Serve as the first point of contact for the office by greeting visitors, identifying their needs, providing assistance or directing them to the appropriate person, and answering the main office phone line and transferring calls as needed Manage the full employee onboarding and offboarding process, including all required documentation, checklists, and coordination Maintain employee personnel files and required documentation, including MMC and TWIC credentials Assist with payroll processing Manage DBID issuance and renewals Manage and support employee disciplinary matters, including conducting investigations into workplace incidents, participating in disciplinary meetings with management and employees, and preparing and maintaining related documentation Manage the employee insurance and benefits program, including enrollment, changes, employee questions, and ongoing benefit tracking Manage unemployment claims and related employment matters, including responding to requests for information, providing required documentation, and maintaining accurate records and correspondence Prepare sea time letters Manage the company's incident tracking system, including maintaining electronic and paper incident files and ensuring all required documentation is complete, accurate, and properly filed Manage the personnel section of the company's Helm system, including entering employee information and ensuring personnel records remain current and accurate Assist with AR/AP processing and purchase order administration Manage office and vessel supply ordering, including maintaining stock of general office supplies, coffee, creamer, and other everyday office items, as well as coordinating household supply requests from company vessels Place and manage bulk supply orders through vendors such as Amazon and Sam's Club, monitor inventory levels, and ensure commonly requested household items remain stocked and readily available for vessel needs Oversee the office cleaning service, including coordinating with the cleaning company, communicating office needs or concerns, and ensuring cleaning services are completed as expected Assist the Finance Manager with accounting and administrative tasks as needed Provide support to other departments as needed, assisting with administrative tasks, special projects, and day-to-day operational needs
Qualifications:
