General Description:
The Human Resources (HR) Records Technician is responsible for processing employment verification requests and maintaining accurate employment records in compliance with the Code of Virginia. This role involves verifying work history for new hires and responding to external verification inquiries. The technician works both independently and collaboratively, exercising discretion and confidentiality while ensuring data integrity in all HR systems and records.
Job Description:
Essential Job Functions:
Serves as the primary point of contact for employment verification requests from both internal and external stakeholders Completes and returns verifications within timelines established by the Code of Virginia Verifies new hire work history by contacting previous employers, educational institutions, or other sources to confirm employment dates, job titles, and other relevant details; Notifies appropriate HR personnel if discrepancies are found between reported and verified employment history Enters and updates employee data in the Human Resources Information System (HRIS) to ensure accuracy; Compares documentation to entered data to ensure accuracy and corrects any errors as needed Tracks data entries for audit and compliance purposes Assists with providing requested documentation to internal departments as needed Provides support for general HR administrative duties, including: Scanning and filing documents electronically in accordance with records retention procedures Assisting with entering and maintaining employee pay assignment records Sorting and/or distributing mail Covering the HR reception desk as needed Performs other duties as assigned
Budgetary Responsibility:
This position has no budgetary responsibilities.
Report Preparation:
May prepare various reports as requested by supervisor
Equipment Operation:
Computer, scanner, printer, fax machine, and copier
Contacts:
This position has regular contact with all levels of Chesterfield County Public Schools (CCPS) personnel, including both current and former CCPS employees. Additional external contacts include outside stakeholders relevant to employment verifications.
Work Direction/Supervision:
This position does not provide work direction or supervision to others.
Decision-Making:
Work is performed under general supervision and established guidelines. The employee should seek assistance from team members and supervisor as necessary.
Formal Policy-Setting Responsibilities:

Physical Demands:
The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to use hands to handle printed materials and/or controls, reach with hands and arms, and talk and hear. Continuous keyboarding is required. Position is normally performed while sitting. The employee is occasionally required to stand, walk, climb or balance, and stoop or kneel.
Work Environment:
The employee regularly works in an open-office setting. The noise level in the work environment is typically quiet to moderate.
Qualifications:
Strong attention to detail in order to ensure accuracy in data entry and document verification Excellent verbal and written communication skills to work effectively with diverse audiences Proficiency with HRIS and electronic document management systems Knowledge of records retention and management best practices Strong organizational skills and ability to manage high volumes of data and requests Ability to enter data accurately and efficiently with minimal errors Demonstrated discretion when handling sensitive and confidential information Capability to work independently and collaboratively in a team setting Ability to interpret and apply policies and procedures consistently

Education, training, or experience sufficient to demonstrate the required knowledge, skills, and abilities
Preferred:
