Job Description

Position Overview The HR/PR Coordinator plays a dual role in managing both the internal human resources functions and the external public relations initiatives of Impact Dental Care. This position supports a positive and professional work environment, ensures compliance with HR policies and regulations, and promotes the practice's image through staff development, patient engagement, and community outreach.
Key Responsibilities Human Resources Duties Recruitment & Hiring:
Post job openings, screen candidates, schedule interviews, and assist with new hire onboarding.
Employee Relations:
Maintain a positive and cohesive office culture, handle staff concerns professionally, and support team-building activities.
Performance & Compliance:
Track employee performance reviews and attendance, ensuring compliance with labor laws, OSHA, and HIPAA standards.
Employee Reviews:
Coordinate and document 30-day, 60-day, 90-day, and annual performance evaluations in collaboration with management.
Employee Surveys:
Distribute and analyze employee satisfaction surveys to identify areas for improvement and enhance workplace engagement.
Documentation & Discipline:
Prepare and maintain proper verbal and written warnings , employee write-ups , and paper trails to ensure fair and consistent documentation. Assist management in the disciplinary and termination process in accordance with company policies and legal standards.
Training & Development:
Coordinate staff training sessions, CPR renewals, continuing education, and policy updates.
Payroll & Benefits:
Assist with payroll processing, PTO tracking, and benefits coordination.
Compliance & Record Keeping:
Maintain OSHA and HIPAA binders , perform monthly checks, and ensure all daily, weekly, monthly, and yearly logs are completed and up-to-date. Maintain confidential employee files, HR documentation, and compliance records accurately and securely.
Public Relations & Marketing Duties Brand Representation:
Maintain consistent brand presentation across all patient-facing materials, social media, and community events.
Social Media Management:
Create and schedule engaging posts showcasing our team, services, and patient experiences.
Community Outreach:
Organize participation in local health fairs, school programs, and community charity events.
Patient Engagement & Internal Marketing:
Conduct patient satisfaction surveys to gather feedback and improve service quality. Manage monthly raffles, contests, and referral programs to encourage online reviews and patient referrals. Send personalized birthday cards and thank-you messages to patients. Prepare and distribute new patient welcome packages to create a positive first impression. Plan and execute internal marketing campaigns to promote office events and awareness initiatives.
Event Planning:
Coordinate patient appreciation events, promotional campaigns, and sponsorships. Arrange company team meetings, trainings, holiday parties, team celebrations, and birthday recognitions. Oversee office holiday and seasonal decorations to create a welcoming environment for patients and staff.
Vendor & Team Coordination:
Communicate with marketing vendors and team members to ensure proper implementation of all specials, promotions, and campaigns . Provide team training and guidance to ensure smooth execution and consistent messaging across all offices.
Quality Assurance:
Review random patient phone calls to assess communication quality and patient experience. Provide constructive feedback and coaching to team members to improve service standards and consistency.
Advertising Support:
Collaborate with marketing vendors for ad materials, promotions, and sponsorships. Qualifications Bachelor's degree in Human Resources, Communications, Marketing, or a related field (preferred). Prior experience in a Dental Setting required . Excellent written and verbal communication skills. Strong organizational, interpersonal, and multitasking abilities. Proficient in Microsoft Office and major social media platforms . Knowledge of HR compliance , HIPAA , OSHA, and labor regulations is a plus. Job Type:

$25.00 - $29.00 per hour
