Job Description

Position Title:

General Office Assistant / Administrative Assistant to Human Resources and Instruction & Innovation

Terms of Employment:

Full Year

This is a 30 hour per week year-round position. A full time benefit package including, health, dental, vision, FSA, retirement and paid leave time is offered with this position.

Qualifications:
  • High school diploma or equivalent. Associate degree in Business, Human Resources, Accounting or related field preferred.
  • Previous administrative, secretarial, or office experience.
  • Experience working in a school, public-sector, or human resources environment preferred
  • Strong organizational skills and ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficiency with computers, email, spreadsheets, word processing, electronic filing systems, and data management tools
  • Ability to establish positive working relationships with colleagues and community members.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Regular and punctual attendance

Position Summary:

To provide efficient, professional, and responsive administrative support for WNESU's general office operations, Human Resources Department, and Office of Instruction and Innovation. This position provides administrative support for employee records and benefits, database management, curriculum and instructional initiatives, grants management, and central office operations and also serves as the office receptionist and the initial point of contact for employees, visitors, and the public.

Performance Responsibilities:

Human Resources and Benefits Support

  • Provide administrative support to HR & Benefits Coordinator related to employee records, benefits, and HR operations.
  • Assist with benefits enrollment, onboarding/offboarding, filing workers' compensation claims with our insurance carrier, employee communications, and HR projects.
  • Maintain staff directories, databases, spreadsheets, and benefit records as requested.
  • Assists with scanning, filing, and maintaining employee documents in both physical and electronic personnel files
    Instruction and Innovation Support
  • Provide administrative support to the Director of Instruction and Innovation, including maintaining records, spreadsheets, reports, and professional development documentation.
  • Assist with curriculum initiatives, service plans, instructional reports, professional development activities, and special projects.
    Grant and Program Support
  • Support grant administration through maintaining records, processing purchases and contracts, tracking documentation, and preparing reports.
  • Maintain MOUs and documentation for grant-funded positions and stipends.
  • Assist with program mailings, orders, inventory, supply distribution, and audit preparation.
    General Office Support
  • Greet visitors, manage building access, answer and direct calls, and maintain a professional front office environment.
  • Process mail, deliveries, supplies, and office materials; assist with office equipment and general administrative operations.
  • Utilize Google Workspace, Microsoft Office, Word, Excel, PDF editing software, and other systems to maintain records and create reports, documents, forms and spreadsheets and prepare correspondence.

Physical Requirements:

While performing the duties of this job, the employee is frequently required to sit. The employee will occasionally be required to stand, walk, bend and reach. The employee must be able to occasionally lift and/or move items weighing up to 15 pounds. Manual dexterity is required to finger, handle or grasp objects. Must be able to hear, talk and see.
