This position ensures accurate recordkeeping, regulatory compliance, and a positive employee experience while providing administrative and operational support across HR and Finance functions. Essential Responsibilities Onboarding & Employee Administration Coordinate and administer the new hire onboarding process, including orientation and completion of required paperwork (Form I-9, federal and state tax forms, direct deposit authorization, and related documentation). Ensure compliance with federal and state new hire reporting requirements. Maintain accurate and organized employee records in accordance with company policies and legal requirements. Support employee offboarding documentation and administrative processes as needed. Submit new hire reporting to State of IL and State of WI. Training & Compliance Assist in coordinating company training initiatives, including but not limited to: Sexual Harassment Prevention Training 401(k) informational seminars Open Enrollment meetings Support internal audits and compliance efforts, including I-9 audits, video consent documentation, and security/access tracking (e.g., key fob records). Assist with Screen Safe reporting and compliance related to union workers. General Administrative Support Provide general administrative support to the HR department. Order and coordinate monthly Finance department lunches. Perform miscellaneous duties and special projects as assigned. Sexual Harassment Prevention Training 401(k) informational seminars Open Enrollment meetings Support internal audits and compliance efforts, including I-9 audits, video consent documentation, and security/access tracking (e.g., key fob records). Assist with Screen Safe reporting and compliance related to union workers. Qualifications Bachelor's degree in Human Resources, Business Administration, or related field preferred. 1-3 years of experience in an HR or administrative support role. Working knowledge of HR compliance requirements (I-9, benefits administration, state reporting). Strong organizational skills and attention to detail. Ability to handle confidential information with discretion. Proficiency in Microsoft Office Suite (Excel experience preferred). Excellent communication and interpersonal skills. Key Competencies Detail-oriented and highly organized Strong follow-through and accountability Ability to manage multiple tasks in a deadline-driven environment Customer-service mindset Collaborative and team-oriented 1-3 years of experience in an HR or administrative support role. Working knowledge of HR compliance requirements (I-9, benefits administration, state reporting). Strong organizational skills and attention to detail. Ability to handle confidential information with discretion. Proficiency in Microsoft Office Suite (Excel experience preferred). Excellent communication and interpersonal skills.
Pay:
$70,000.00 - $75,000.00 per year
