Job Description

Summary The Office of Workforce Engagement, a division within Human Resources, works in collaboration across MCW to drive initiatives that enhance faculty and staff engagement, promotes a culture of belonging, and offers workplace programs that strengthen all of MCW's organizational values

The Program Coordinator for the Office of Workforce Engagement (WE) supports institutional engagement efforts for the Medical College of Wisconsin. This role will support the administrative needs for the WE team, assisting with the implementation of WE Signature Programs and Core Events, support the needs of MCW's Employee Engagement Groups and Institutional Councils, Employer of Choice Strategy, Staff Awards & Honors, and the launch of the Quarterly Living Our Values Engagement Activities. The Program Coordinator reports to the Program Director in the Office of Workforce Engagement and will regularly partner with WE team members. The Program Coordinator will also collaborate with internal HR and MCW stakeholders and is encouraged to contribute to all aspects of workforce engagement. An ideal candidate will be detail-oriented, values-based, and have experience supporting the administrative needs of an office. Primary Responsibilities Support the administrative needs of the Office of Workforce Engagement, such as triage emails in the shared inbox, gather WE mail, assist with the administration of the
WE TEAMS
channel, schedule Office meetings, prepare team meeting agendas and minutes, maintain office equipment such as changing toner/copier, organize the WE storage room, and coordinate the ordering of office supplies. Coordinate administrative tasks for WE, including but not limited to supporting day-of event coordination and post-event logistics, coordinating resources including event supplies, refreshments, room reservations and speaker schedules, facilitating virtual options, creating invitations, and sending follow-up emails on behalf of WE. Support WE team onboarding and offboarding, WE team talent acquisition support, budget support, WE suite badge access, and WE team process paperwork. Assist in the creation of event registration forms, ad-hoc surveys, office reports, workgroup agendas and minutes, and office presentations. Assist with office communication needs, including slide deck preparation, outreach for WE LIVE Newsletter content ideas, compiling event speaker bios, updating WE infoscope, etc. Assist with calendar management for the WE Program Director and the Office of Workforce Engagement. Support the administrative needs of MCW's Employee Engagement Groups, MCW Institutional Councils, Employer of Choice Strategy, and Staff Awards & Honors. Responsible for the program coordination of the new quarterly series, Living Our Vaues Engagement Activities. Collaborate with the WE team to define, track, and achieve the annual office goals.   • Abilities Experience in supporting the administrative needs of an office.
Strong time management, prioritization, organizational skills, and attention to detail. Excellent oral and written communication skills. Experience working across all levels of leadership and employee classification. Experience supporting the work of Employee Engagement Groups. Experience in the use of technology and building ad-hoc surveys. Efficient self-directed work, ability to remain focused, meet deadlines, and attention to detail. Ability to work independently and as part of a team. Ability to work cooperatively and fairly with people whose backgrounds may differ from one's own. Qualifications Appropriate experience may be substituted for education on an equivalent basis.

2 years Physical Requirements Work requires occasionally lifting moderate weight materials, standing, or walking continuously. Work Environment Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment. Sensory Acuity Ability to detect and translate speech or other communication required.
