Position Overview The Office Manager will oversee daily office operations, manage administrative tasks, and support the efficiency and effectiveness of the upper management team by executing a broad spectrum of responsibilities, including contract administration, executive administrative support, recruitment, onboarding, employee relations, and compliance. The ideal candidate will possess strong leadership and communication skills, experience in office management, and a background in HR functions. Essential Duties and Responsibilities Office Management Manage daily administrative duties of the office, including coordinating executive communications. Coordinate and schedule meetings, appointments, and manage travel itineraries for upper management. Arrange corporate events to take place outside of the workplace, including staff appreciation events, training seminars, and job site tours. Ensure the office is well-organized, efficiently run, and equipped to meet team needs. Support budgeting, invoice processing, and expense reporting related to office supplies and operations. Maintain the company group calendar. Marketing Maintain sponsorships, donations, and advertising for the company. Update and maintain project portfolio pages. Update social media for the company's social media sites. Assure the website is up to date and develop content as necessary. Provide support in marketing materials, including brochure development. Human Resources Support Assist in the recruitment process, including posting job openings, screening resumes, scheduling interviews, coordinating interviews with managers and completing reference checks, and issuing offers of employment. Facilitate new employee onboarding, including preparing orientation materials, managing employee paperwork, and setting up system access. Maintain and update employee records, ensuring compliance with HR regulations and confidentiality standards. Address basic employee relations issues and escalate concerns to the controller, president, and/or HR consultant as needed. Coordinate training sessions, workshops, and team-building activities to foster a positive and productive workplace. Assist with benefit programs, including medical, dental, better wellness, and 401k/profit sharing. Compliance & Policy Management Ensure compliance with local, state, and federal employment laws, company policies, and procedures. Keep the team informed about policy changes and updates in HR guidelines. Assist with drafting and implementing policies and procedures. Assist with annual reviews, employee evaluations, and performance improvement plans. Point person for any work-related injuries and maintain records
Qualifications:
5+ years' experience/education in Business Administration, Human Resources, or a related field (preferred). 3+ years of experience in office management with HR support responsibilities. Strong organizational skills with an ability to multitask and prioritize effectively. Excellent communication and interpersonal skills, with a customer-service-oriented approach. Familiarity with labor laws and HR compliance standards. Strong PC Skills required, including Word, Excel, PowerPoint, Access, etc. The ability to multitask is required High energy self-starter; must be able to take initiative with minimal guidance and be comfortable working both as an individual and as part of a team Why Work at Scandroli Construction?
