Job Description
POSITION SUMMARY
The Operations Supervisor oversees day to day staffing office operations for the Medical Surgical division, supervising a team of administrative coordinators while leading a proactive, centralized, and data driven staffing model aligned to unit volume and organizational productivity targets. This role maintains a system wide, bird's eye view of staffing levels to identify gaps and surpluses and facilitate efficient redeployment of staff across units. The supervisor is responsible for daily operational execution, employee oversight, and workforce planning, while mentoring and coaching staff to support professional development, performance improvement, and retention. Additionally, the role sets and manages short and long term departmental goals, develops and implements strategies for continuous improvement, manages budgets and resources, and leads hiring, promotion, and termination decisions with a strong focus on financial performance and operational outcomes. In collaboration with Nurse Directors, provides strategic and operational leadership for workforce management across the division. This role is accountable for optimizing staffing resources, ensuring payroll integrity, and supporting fiscal stewardship while maintaining alignment with patient care needs, regulatory requirements, and organizational goals. Working in close partnership with Nurse Directors and executive nursing leadership, the Supervisor oversees daily staffing operations, workforce planning, scheduling systems, and data-driven forecasting to ensure safe, efficient, and sustainable staffing models within high-acuity environments.ESSENTIAL RESPONSIBILITIES / DUTIES
Scheduling & Workforce Management in Partnership with the Nurse Directors Assist with staff scheduling Assist with the management of vacation grids, weekend grids, and WIN ( Weekend Incentive Nurse) Assist with tracking trends in sick calls, overtime, agency utilization and no meal breaks Assist the Nurse Directors in workforce planning with a focus on shift rotation and weekend rotation Collaborates with the department's educators in entering a an orientation schedule for all new staff, Pays out all mandatory training for staff Serve as a resource for staff regarding staff scheduling, time keeping and payroll/union policies Contribute to process improvement initiatives with the division Manage Staffing Office Operations Supervise the staffing office 10+ employees Lead in a proactive, data-driven, and centralized approach Ensure core staffing plans based on unit volume Provides a bird's-eye view of staffing gaps and surpluses, allowing movement of staff from overstaffed units to understaffed ones effortlessly. Understand productivity concepts Mentor/Coach to support professional development, improve performance, and foster employee retention Set/manage short & long-term goals Develop & implement strategies for department Improvement Manage department budgets, resources, and initiatives. Hire, terminate, and promote employees. Focus on the division's performance related to financial goals. Responsible for daily operational tasks and direct employee oversight Staffing Operations Ensure core staffing based on unit volume Assist the Nurse Directors in managing daily staffing across the Med/Surg. Division to ensure safe patient care and appropriate skill mix. Provide real-time staffing oversite to address census fluctuations, and unexpected absences In collaboration with the Nurse Directors and staffing office redistribute staff to address coverage gaps. Maintains open communication lines with other departments. Act as a liaison with internal and external customers Payroll and Timekeeping Oversee payroll processes for the Medical/Surg. division, Validate timecards and ensure accuracy of worked hours, overtime, and incentive pay. Reconcile payroll discrepancies in a timely ,manner Maintain compliance with hospital policies and labor agreements Reporting, Data Management, Forecasting Generate and distribute biweekly staffing forecasts based on core staffing, census and acuity trends. Provide Nurse Directors with sick time, tardiness and no meal break reports Track trends in sick calls, overtime, agency utilization and premium pay Assist leadership in workforce planning in regards to shift rotation and weekend rotation Provide Nurse Director with monthly WIN time off. Bachelor's Degree required with Health Care Administration or Business Administration preference Masters Preferred with Health Care Administration or Business Administration preferred.EXPERIENCE
Minimum of 3-5ys experience in hospital operations, staffing, scheduling or workforce management required Minimum 5 years of experience managing staff requiredKNOWLEDGE AND SKILLS

Ability and willingness to become proficient in other applications including UKG, Optilink, Workday,Strata Collaboration and partnership Flexibility Project coordinationCompensation Range:
$66,000.00- $96,000.00 This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
