Job Description
GENERAL SUMMARY
The Human Resources & Finance Manager provides human resources, finance, organizational, and administrative support to Hope Shores Alliance. Working with direction from the Finance Director and in collaboration with agency leadership, this position coordinates recruitment activities, onboarding processes, employee support functions, finance support services, board and leadership support, and administrative systems that support the daily operations of the agency. The position calls for the ability to work in a fast-paced and productive environment where organizational, planning, communication, and problem-solving skills are fully utilized. They will approach all tasks as a member of a team of equals, where decision-making authority rests with a group of team members who value feedback, collaboration, and shared leadership. The Human Resources & Finance Manager must be able to work under pressure and successfully manage competing demands while maintaining complete confidentiality for survivors, colleagues, volunteers, board members, and the agency. Must have a demonstrated ability to foster professional relationships and possess knowledge of community resources.PROFESSIONAL REQUIREMENTS

- Excellent verbal and written communication skills in an environment where clear and consistent communication is expected and required among all staff.
ESSENTIAL DUTIES & RESPONSIBILITIES
Other duties as assigned General- Back up Services Assistant, Facilities & Communications Manager and other administrative support staff as assigned.
- Attend meetings as assigned and prepare meeting notes and summaries.
- In compliance with state and federal confidentiality guidelines, maintain the strictest level of confidentiality.
- Serve on a minimum of one staff committee.
- Attend all required training activities in compliance with agency and funding/accreditation source requirements. Recruitment and Onboarding
- Coordinate recruitment activities including job postings, application collection, interview scheduling, and pre-employment documentation.
- Conduct verbal employment offers as directed.
- Coordinate and oversee all employee onboarding activities, including scheduling onboarding sessions, assigning facilitators, and monitoring completion of onboarding requirements.
- Coordinate with Facilities & Communications Manager, the Services Assistant, Finance Director and other agency staff to ensure new employees have all necessary equipment, technology, system access, and workspace resources available on or before their first day of employment.
- Complete or coordinate with Services Assistant all pre-employment and onboarding tasks within ADP and other required personnel systems.
- Ensure completion of Criminal History, Child Abuse and Neglect Central Registry, and State and National Sex Offender Registry background checks for newly hired employees, volunteers, and current employees as required by funding and service contracts.
- Send new hire communications and agency-wide staff announcements.
- Support board member onboarding and off boarding activities. Personnel Administration
- Manage PTO packages and employee leave documentation in ADP as directed.
- Complete short-term disability paperwork and related documentation.
- Create, coordinate, and track completion of annual employee self-evaluations.
- Support employee enrollment, changes, and communications related to agency benefit programs.
- Assist employees in locating appropriate resources regarding payroll, benefits, leave, and agency procedures.
- Support disciplinary, corrective action, termination, and employee separation processes as assigned Finance Support
- Assist the Finance Director with completion of the following as assigned and in their absence: o Accounts payable o Accounts receivable o Payroll processing o Maintain spreadsheets/reports as requested for Medical, Dental, Life Insurance, Short Term Disability Insurance, Health Savings Account, Retirement, Volunteer Hours Report, Staff Training, and others as assigned.
- Support and oversee processing integrity by accurately recording donations in the donor database and reconciling financial receipts with finance records for Executive Director to assist with donor development.
- Assist with preparation and organization of financial reports, Finance Committee materials, audit documentation, and supporting records as assigned.
- Assist with procurement, purchasing, requisitions, invoices, and related financial documentation as assigned. Maintain administrative purchasing accounts and documentation as assigned (TreviPay, Walmart Business, Amazon, etc.).
- Arrange and pay for staff training registrations, travel, lodging, and hotel accommodations.
- Maintain agency and shopping-related tax-exemption documentation.
- Coordinate annual renewal of the charitable-solicitation license and related administrative filings, with Finance Director oversight as appropriate. Operations Support
- Attend meetings as assigned and prepare notes and summaries.
- Maintain Board records. Review, approve and finalize agency correspondence, forms, letters, policies, procedures, job descriptions, and other organizational documents to ensure accuracy, professionalism, consistent formatting, and alignment with agency standards.
- Support investigations involving confidentiality concerns and policy violations as assigned.
QUALIFICATIONS

- Demonstrated personal and professional integrity with the ability to lead through encouragement rather than authority.
- Associate's degree in business administration or equivalent preferred.
- Complete intra-agency domestic violence and sexual assault training within 30 days of hire.
- Complete MCEDSV New Service Provider Training within 180 days.
- Complete all other required job-related training within 180 days.
- Obtain or maintain Red Cross First Aid and CPR certification (provided by Hope Shores Alliance.
- Valid driver's license, good driving record, and proof of insurance.
- Successful completion of Criminal History, Child Abuse and Neglect Central Registry, and State and National Sex Offender Registry background checks.
- Strong communication skills and comfort engaging in challenging conversations with diverse stakeholders.
