Free At Heart Online Therapy is seeking a highly organized, professional, and compassionate Client Onboarding Specialist to join our team. This role is critical in creating a seamless and welcoming intake experience for new clients while ensuring all administrative and compliance requirements are met with accuracy and timeliness. The ideal candidate thrives in a people-focused environment, demonstrates excellent communication skills, and maintains strict confidentiality standards. Key Responsibilities Serve as the first point of contact for prospective clients via phone and other communication channels Conduct initial intake calls, gathering all necessary demographic, clinical, and administrative information Collect and log insurance details for benefit eligibility checks Perform basic screening procedures, including: Risk assessments Legal considerations Custody-related matters Accurately and efficiently document all client information in the practice's systems Coordinate closely with the clinical care team to ensure appropriate client placement and continuity of care Maintain detailed, timely, and compliant records of all interactions Provide a warm, professional, and supportive experience for clients during the onboarding process Ensure adherence to HIPAA guidelines and all applicable healthcare privacy regulations Support ongoing process improvements to enhance the onboarding experience Understand risk factors and escalate clients deemed "high-risk" to the appropriate personnel in a calm but timely manner Utilize mandated reporting guidelines to determine if a report needs to be made to follow state regulations Qualifications Bachelor's degree required Prior experience in case management, client services, healthcare administration, or a related field Strong interpersonal and communication skills, especially over the phone Exceptional organizational skills and attention to detail Ability to manage sensitive information with a high level of discretion and professionalism Comfortable working in a fast-paced environment with competing priorities Proficiency with electronic health records (EHR) systems or similar data management tools preferred Understanding of HIPAA and basic medical/legal regulations strongly preferred Core Competencies Client-centered mindset with a commitment to service excellence Professionalism and compassion when handling sensitive situations Strong problem-solving and critical-thinking abilities Reliability and ability to follow through on tasks independently Collaborative approach to working with clinical and administrative teams
