Full Job Description EHR Onboarding & Implementation Specialist Location:
Pleasanton, CA (On-site 3 days a week: Tuesday-Thursday)

$75,000 - $90,000 / year + Comprehensive Benefits Position Overview CharmHealth is seeking a high-caliber, client-facing EHR Onboarding & Implementation Specialist to join our growing post-sales group in Pleasanton, CA. This is a strategic role designed for a consultative professional who can take immediate ownership of new medical practice accounts following sales closure, leading them step-by-step from data handoff to a successful, stable live operational status.34This is not an internal-facing IT support or data entry role. You will operate as the primary partner to clinical and administrative leadership, translating their unique practice patterns into technical configurations within the CharmHealth platform. To allow you to maximize your impact on clinical workflow optimization, our specialized billing squad handles all complex eClaims, clearinghouse integrations, and revenue cycle mechanics. Your mission is to build highly functional clinical systems and empower medical staff to maximize their efficiency on day one.
Key Responsibilities Technical Blueprinting:
Audit and synthesize pre-sale transcripts, requirement logs, and emails to build a tailored implementation strategy before leading comprehensive discovery and kickoff calls with new clients.
System Configuration:
Partner directly with medical practices ranging from single-provider clinics to multi-site enterprises with up to 50 providers. Guide them through the hands-on setup of chart templates, integrated AI scribe components, custom preference lists (diagnosis codes, labs), e-prescribing tools, and telehealth capabilities.
Super-User Training:
Design and execute impactful training strategies. Focus on coaching clinic administrators and core clinical stakeholders to establish self-sufficient "Super-Users" capable of scaling system adoption across the entire practice.
Project Management & Tracking:
Manage multiple complex onboarding timelines simultaneously, logging development steps and workflow tasks using Jira and enterprise project management infrastructure.65
Go-Live Stabilization:
Conduct structured post-go-live optimization reviews. Triage, resolve, and configure solutions for unpredictable edge-case clinical scenarios that manifest once the practice is actively treating patients.
Required Qualifications Experience:
3 to 5+ years of direct, hands-on experience configuring, implementing, or optimizing Electronic Health Record (EHR) and Practice Management (PM) software. Vendor-side onboarding or deep internal hospital IT analyst experience is highly preferred.
Technical Aptitude:
Proven capability to map clinical workflows and build software templates, clinical order sets, or alert mechanisms from scratch.
Training & Advisory Delivery:
Strong experience leading software demonstrations, presenting technical curriculum, and training non-technical clinical staff under tight timelines.
Client-Facing Polish:
Exceptional communication and consultative skills; comfortable acting as the firm, reassuring "face of the vendor" during stressful migration environments and rocky operational go-lives.
Work Environment & Schedule Constraints Strict Hybrid Model:
This position operates on-site at our Pleasanton, CA corporate headquarters three days a week: Tuesday, Wednesday, and Thursday . Mondays and Fridays are remote. Note on

Because our implementation team is building operational workflows from the ground up, we commit to this specific in-person overlap to ensure rapid, collaborative design decisions. Candidates must be within regular commuting distance of our Pleasanton office. Relocation assistance is not provided.
Pay:
$75,000.00 - $90,000.00 per year
