Health, Vision, Life, Disability, Legal and Dental Insurance; Personal and Sick Time Off per the Non-Unit Contract Position Summary The Onboarding Specialist is responsible for providing a smooth, welcoming, and efficient onboarding experience for all new employees. This role serves as the primary point of contact throughout the onboarding process, ensuring all required documentation, training, system access, and orientation activities are completed accurately and within established timelines. Over time, this role will expand to include oversight and implementation of imaging initiatives, including scanning and converting student and employee records into secure, organized electronic files for digital storage. Key Responsibilities Coordinate and manage end-to-end onboarding processes for new hires Serve as the primary contact for onboarding-related questions and support Prepare onboarding materials, schedules, and documentation Conduct orientation sessions and explain district policies, procedures, and expectations Coordinate with supervisors to ensure completion of additional department/school/building specific on-boarding Coordinate with supervisors to determine required compliance training(s) and timelines Ensure completion of required forms, compliance documents, and system access requests Collaborate with HR, hiring managers, IT, and other departments to ensure readiness for onboarding Track onboarding progress and maintain accurate records in internal systems Identify process improvements to enhance onboarding efficiency and experience Follow up with new hires to ensure successful transition and engagement Preferred Qualifications Bachelor's degree in Human Resources, Business Administration, Communications, or related field preferred 1–3 years of experience in onboarding, customer success, HR, training, or administrative support Strong organizational and time management skills Excellent verbal and written communication abilities Ability to manage multiple tasks and deadlines in a fast-paced environment Proficiency in Microsoft Office, Google Workspace, and district software systems (Skyward, Vector, Frontline, etc) Strong attention to detail and problem-solving skills Demonstrated project management skills, including the ability to plan, coordinate, and implement processes or initiatives from start to finish Strong leadership skills with the ability to guide others, provide direction, and ensure onboarding processes are completed accurately and on time Strong collaboration and interpersonal skills, with the ability to build positive working relationships across departments and support a team-based work environment Preferred Skills Experience with Vector, Skyward and Frontline Customer service mindset with strong interpersonal skills Ability to work independently and collaboratively Process improvement mindset Reports To Assistant Superintendent for Elementary and Student Services If you have any questions or would like to follow up on your application, please contact Tricia St. Michaels, Assistant Superintendent at: 651-748-7452 or .
